Position: Office Coordinator  Administration
RESPONSIBILITIES

Coordinate daily office operations to ensure a safe, organized, and productive workplace.

Manage office supplies, equipment, and vendor relationships.

Serve as the primary point of contact for office‑related inquiries and requests.

Coordinate office maintenance, repairs, and facility‑related needs.

Support onboarding activities for new employees and visitors.

Assist in the planning and execution of internal and external events, meetings, and employee engagement initiatives, including Founders’ Week.

Coordinate logistics including catering, materials, and attendee management.

Support company‑wide programs, town halls, training sessions, and team‑building activities.

Maintain accurate records and documentation related to office and departmental activities. Provide support to Finance through liquor board program support, cheque deposits, etc.

Support internal communications and employee engagement initiatives.

Assist with company announcements, office updates, and employee programs.

Help foster a positive workplace culture and employee experience.

Respond to employee requests in a professional and timely manner.

Serve as health and safety representative, responsible for ensuring the safe evacuation of all employees during a fire or drills; train employees in proper fire evacuation procedures and represent Bacardi at landlord fire safety debriefs and trainings.

Perform other ad hoc duties and support the Leadership team and projects as required.

This role is a hybrid work arrangement.

Expected hiring salary range: $50‑$60K, depending on level of experience.

SKILLS & EXPERIENCE

Previous experience in an administrative or office coordination role preferred.

Strong organizational and time‑management skills with the ability to manage multiple priorities.

Excellent verbal and written communication skills.

Proficiency in Microsoft Office Suite, particularly Excel, Word, and PowerPoint.

Strong attention to detail and problem‑solving abilities.

Ability to work independently and collaborate effectively across teams.
