The Administrative Coordinator is part of a dedicated team that provides comprehensive ethics support to the entire UHN community. The Administrative Coordinator will assist the Senior Director and the ethicists in their provision of guidance and ethical support to patients, families, and teams across all of UHN’s hospitals. This is a corporate UHN department and not confined to only one site.
DutiesAs an integral member of the Department of Clinical and Organizational Ethics, the responsibilities of the Administrative Coordinator include:
- Managing departmental operating budgets under direction of the Senior Director
- Coordinating and completing financial billing and payment activities
- Acting as the resource person to the department on all office administrative matters
- Ensuring the efficient operation of the office, including calendar management, meeting support, file management, handling HR processes, supporting the Fellowship program, maintaining the departmental SharePoint site, preparing the quarterly newsletter as well as other documents, reports, schedules, and spreadsheets
- Preparing statistics for, and conducting audits of, departmental activities
- Performing cross‑functional duties, as assigned and/or requested; performing other duties consistent with the job classification, as required.
- Completion of Grade XII or recognized equivalent required.
- Completion of a recognized medical or business post secondary office administration diploma program, or recognized equivalent required.
- Five (5) years related office administration support experience required.
- Previous on‑the‑job computer/word‑processing, database and spreadsheet software experience required.
- Experience in a Microsoft Office environment preferred.
- Knowledge of the organization an asset.
- Experience working in a health care environment an asset.
- Excellent organizational and time management skills required.
- Excellent interpersonal and customer service skills required.
- Very good verbal and written communications skills required.
- Ability to produce high quality work in accordance with Hospital standards required.
- Strong knowledge of Departmental practices, procedures and standards required.
- Ability to work effectively and efficiently under pressure required.
- Ability to use good judgment, tact, and discretion in assessing difficult situations required.
- Ability to effectively handle confidential matters and materials required.
- Knowledge of medical terminology an asset.
