Reporting to the Director, Client Services, the Program Concierge is a critical member of the Executive Programs team. Executive Programs offers a diverse range of education programs for individuals and groups in Toronto, nationally and internationally. Both standard and customized programs are offered throughout the year. The Program Concierge is responsible for providing each Executive Programs participant with an outstanding, personalized customer service experience.
Working under the direction of the Director, Client Services, the responsibilities of the Executive Program Concierge include providing program information and logistics to incoming participants, answering questions and ensuring they feel supported from admission through planning and attendance. The Program Concierge acts as the primary point of contact for each participant and goes above and beyond to ensure they receive extraordinary support and service.
The Program Concierge must display tact and diplomacy in dealing with clients, participants, special guests, visitors, faculty, staff, and suppliers.
- Act as the first point of contact for general enquiries
- Analyze client needs and make recommendations on event logistics and options
- Determine logistical details and activities for events and/or programming
- Coordinate scheduled activities for functions
- Check that room setup meets approved specifications
- Resolve issues that may occur during events and escalate problems as required
- Schedule travel plans and request appropriate accommodations
- Liaise with internal and external service stakeholders
- Advanced College Diploma (3 years) or acceptable combination of equivalent experience
- Minimum three years of superior customer service experience, preferably with an executive audience
- Demonstrated experience drafting clear, professionally written communication for clients, participants, or senior stakeholders
- Experience developing or improving processes, workflows, or resources, including through the use of digital tools and technologies
- Strong computer skills and experience with MS Word and Excel, LMS, video conferencing tools and email applications
- Ability to cope with pressures and deadlines
- Strong communication skills, both verbal and written
- Excellent interpersonal skills with the ability to build effective relationships with stakeholders
- Ability to learn and utilize different computer applications and technologies efficiently
- Ability to assume responsibility and work on own initiative, and also collaborate with others
- Willingness to work a variety of hours and shifts, including early mornings, evenings and weekends
