Business Operations Coordinator
We are looking for a resourceful, detail-oriented Business Operations Coordinator to serve as the operational backbone of a fast-growing boutique advisory firm. You will wear many hats: managing schedules and coordinating team activities, supporting accounts payable and receivable, organizing client events, managing our digital presence, and tracking product usage analytics.

Key Responsibilities Scheduling & Coordination- Manage calendars, schedule internal and external meetings, and coordinate team activities across time zones (North America, Europe, Asia-Pacific)
- Coordinate travel arrangements and logistics for team members and client engagements
- Support accounts payable and receivable management: process invoices, track payments, follow up on outstanding receivables
- Liaise with external bookkeeper/accountant to ensure accurate and timely financial records
- Assist with expense tracking and reporting
- Plan and execute virtual and in-person client events, including industry briefings, advisory dinners, and conference participation
- Manage event logistics end-to-end: invitations, RSVPs, venue coordination, catering, AV setup, post-event follow-up
- Manage the company website (content updates, blog post publishing, SEO basics)
- Manage social media accounts (Linked In, Substack coordination, other platforms)
- Draft and schedule social media content aligned with research publications and thought leadership
- Track and analyze product usage data (downloads, report access, client engagement metrics)
- Prepare usage reports for leadership to inform product development and client retention
- Provide administrative support to the sales team: CRM updates, proposal formatting, client onboarding materials
- Liaise with vendors and service providers (IT, subscriptions, software, office services)
- Organize and maintain digital filing systems
- Manage subscriptions, licenses, and vendor contracts
- 2-5 years of experience in an administrative, operations, or office coordination role, ideally in professional services, consulting, or research
- Experience managing accounts payable and/or receivable (comfort with invoices, payments, and basic financial tracking)
- Experience planning and coordinating events (virtual and/or in-person)
- Experience managing or contributing to a company's social media presence
- Excellent organizational skills and attention to detail
- Strong written and verbal communication skills in English
- Ability to manage multiple priorities in a fast-paced, small-team environment
- Discretion and professionalism when interacting with senior executives and clients
- Experience in a boutique consulting, advisory, or research firm
- Familiarity with CRM tools (Hub Spot, Salesforce)
- Experience with website CMS (Word Press, Squarespace, Webflow)
- Basic data analysis skills (Excel pivot tables, charts, dashboards)
- Experience with event platforms (Eventbrite, Hopin, Zoom Events)
- Familiarity with Quick Books, Xero, or similar accounting software
- French fluency (written and spoken), an asset for Canadian operations and Francophone market expansion
- Post-secondary education in Business Administration, Communications, or related field
- Base Salary:
Start at C $70,000 per year - Health, Medical, and Dental Benefits
