Legal Executive Assistant

Supporting a Partner and COO, you’ll sit right at the heart of the firm, trusted with the priorities, relationships and moving parts that keep everything on track; from high-level executive support and legal coordination through to the day-to-day operations that keep the firm running seamlessly.
This is a role with visibility, trust and real influence. You’ll anticipate what’s needed, connect the dots, keep priorities moving and become an integral part of how the leadership team operates. Salary:
Up to $90K
Key Responsibilities
- Manage complex executive schedules, meetings, client commitments, travel, and logistics, proactively resolving conflicts and protecting time for strategic priorities
- Serve as a key point of contact for clients, external counsel, service providers, and internal stakeholders, coordinating meetings, hospitality, and communications
- Prepare and edit legal documents, correspondence, retainer agreements, and file materials; support docketing, billing, and document management
- Coordinate expense reporting, reimbursements, pre-bills, invoices, cheque deposits, and client billing communications with accuracy and timeliness
- Track Law Society requirements, CPD, filings, and reporting deadlines while maintaining confidential compliance and credential records
- Support marketing, business development, recruitment, website updates, client engagement, and firm communications
- Coordinate firm operations, events, conferences, retreats, client programs, team activities, office logistics, and special projects
- Provide discreet personal and executive support to a Partner, handling sensitive matters with professionalism and confidentiality
Qualifications
- Post-secondary education in legal administration, business administration, or a related field
- Minimum 5–10 years of progressive experience in an Executive Assistant and/or Legal Assistant capacity within a professional services or legal environment
- Demonstrated experience supporting senior executives and/or partners, including calendar management, correspondence, and confidential matters
- Strong understanding of litigation processes, legal documentation, and court procedures, with the ability to manage files and deadlines independently
- Advanced proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint) and experience with legal technologies (e.g., document management systems, e-filing platforms)
- Proven ability to manage competing priorities, exercise sound judgment, and maintain a high level of accuracy in a fast-paced environment
- Exceptional written and verbal communication skills, with the ability to interact
