Our client is seeking a professional, organized, and customer-focused Office Receptionist to support the daily operations of its Toronto office. Serving as the first point of contact for clients, visitors, and employees, this individual will provide exceptional customer service while assisting with office administration, hospitality, and facilities coordination. Working closely with the Office Manager, the ideal candidate is detail-oriented, proactive, and thrives in a fast-paced financial services environment.
Responsibilities:Reception & Office Administration
- Serve as the first point of contact by greeting visitors, clients, vendors, and employees in a professional and welcoming manner.
- Answer, screen, and direct incoming phone calls and emails.
- Maintain a clean, organized, and professional reception area.
- Schedule meetings, appointments, and conference room reservations.
- Perform general administrative duties including filing, scanning, photocopying, data entry, and document preparation.
- Support office staff with day-to-day clerical and administrative tasks.
- Manage visitor registration and ensure compliance with office security procedures.
- Handle confidential information with discretion and professionalism.
- Relay messages accurately and promptly through phone, email, or in-person communication.
- Track appointments, meetings, and visitor schedules to ensure smooth daily office operations.
- Deliver a high-quality experience for clients and guests visiting the office.
- Coordinate meeting room reservations, setup, and logistics.
- Print and assemble presentation materials for meetings and client events.
- Coordinate site visits and logistics for corporate events and off-site functions.
- Order catering, organize client lunches, manage food deliveries, and oversee conference room setup and breakdown.
- Respond promptly to client requests while maintaining a polished and service-oriented approach.
- Partner with internal teams to coordinate meetings, catering, and audio-visual support.
- Receive, sort, and distribute incoming mail, packages, and deliveries.
- Monitor office supply inventory and coordinate replenishment as needed.
- Assist with the day-to-day facilities needs of the Toronto office in partnership with the Office Manager.
Required
- 2+ years of experience in a Receptionist, Front Desk, Office Coordinator, or Office Manager role.
- Excellent verbal and written communication skills.
- Strong organizational skills with exceptional attention to detail.
- Customer-service mindset with a professional and approachable demeanor.
- Ability to prioritize multiple responsibilities in a fast-paced environment.
