Community is looking for a Receptionist and Executive Assistant to join our creative crew! Position Overview
The Receptionist and Executive Assistant is a highly visible role that sits at the heart of the agency. As the first point of contact for employees, clients, partners, and visitors, you'll create a welcoming and professional experience while ensuring the office operates smoothly and efficiently.
At the same time, you'll provide dedicated administrative and organizational support to a senior leader, helping manage schedules, communications, travel, budgets, and key business priorities.

RECEPTION & OFFICE OPERATIONS- Serve as the face of the agency, creating a welcoming experience for guests, clients, and visitors
- Act as the first point of contact for the agency by welcoming visitors, answering and directing calls, and ensuring inquiries and requests are routed appropriately across the organization
- Coordinate courier deliveries, shipping, and incoming packages
- Maintain reception and common areas to ensure a clean, organized, and professional office environment
- Restock kitchen, coffee, snack, and office supplies as needed
- Coordinate team lunches, meetings, and in-office hospitality needs
- Support onsite visits from vendors, building maintenance personnel, and service providers
- Assist with general administrative and office support tasks as required
- Provide administrative support to a senior leader
- Schedule meetings and manage calendar invitations
- Coordinate travel arrangements, including flights, accommodations, and transportation
- Prepare, format, and proofread correspondence, presentations, and documents
- Assist with monitoring email communications and flagging items requiring attention
- Support meeting preparation, note-taking, and follow-up on action items
- Process expenses, invoices, and related administrative documentation
- Help maintain organized records, files, and business documents
- Assist with document preparation, filing, and record maintenance
- Support onboarding logistics, including workspace setup and welcome materials
- Assist with internal meetings, team events, and office activities
- 1-3 years of experience in a Receptionist, Administrative Assistant, Front Desk, or similar role
- Agency, creative, professional services, hospitality, or customer-facing experience is considered an asset
- Exceptional organizational and time management skills
- Strong verbal and written communication abilities
- Ability to handle confidential information with discretion and professionalism
- Strong attention to detail and follow-through
- Comfortable managing multiple competing priorities
- Proficiency with Microsoft Office and business productivity tools
- Strong problem-solving skills and ability to work independently
- Post-secondary education in Business Administration, Office Administration, Communications, Hospitality, or a related field, or an equivalent combination of relevant experience and transferable skills
- Highly organized, detail-oriented, naturally proactive
- Friendly, approachable, and enjoys working with people
- Comfortable supporting senior leadership while managing competing priorities
- Confident setting boundaries, prioritizing requests, and exercising sound judgement
- Adaptable, team-oriented, and willing to jump in wherever needed
- A strong communicator who is confident seeking clarity, asking questions, and speaking up when necessary
The anticipated base compensation range for this role is $45,000-$55,000. Actual base pay offered within this range may differ based on a range of factors, including individual experience, education, skills, and organizational needs.
