Community is looking for a Receptionist and Executive Assistant to join our creative crew! Position Overview

The Receptionist and Executive Assistant is a highly visible role that sits at the heart of the agency. As the first point of contact for employees, clients, partners, and visitors, you'll create a welcoming and professional experience while ensuring the office operates smoothly and efficiently.

At the same time, you'll provide dedicated administrative and organizational support to a senior leader, helping manage schedules, communications, travel, budgets, and key business priorities.

This role is ideal for someone who loves being organized, enjoys working with people, thrives in a fast-paced environment, and takes pride in keeping both the office and leadership team running at their best.

RECEPTION & OFFICE OPERATIONS
  • Serve as the face of the agency, creating a welcoming experience for guests, clients, and visitors
  • Act as the first point of contact for the agency by welcoming visitors, answering and directing calls, and ensuring inquiries and requests are routed appropriately across the organization
  • Coordinate courier deliveries, shipping, and incoming packages
  • Maintain reception and common areas to ensure a clean, organized, and professional office environment
  • Restock kitchen, coffee, snack, and office supplies as needed
  • Coordinate team lunches, meetings, and in-office hospitality needs
  • Support onsite visits from vendors, building maintenance personnel, and service providers
  • Assist with general administrative and office support tasks as required
EXECUTIVE SUPPORT
  • Provide administrative support to a senior leader
  • Schedule meetings and manage calendar invitations
  • Coordinate travel arrangements, including flights, accommodations, and transportation
  • Prepare, format, and proofread correspondence, presentations, and documents
  • Assist with monitoring email communications and flagging items requiring attention
  • Support meeting preparation, note-taking, and follow-up on action items
  • Process expenses, invoices, and related administrative documentation
  • Help maintain organized records, files, and business documents
ADMINISTRATION & BUSINESS SUPPORT
  • Assist with document preparation, filing, and record maintenance
  • Support onboarding logistics, including workspace setup and welcome materials
  • Assist with internal meetings, team events, and office activities
Qualifications EXPERIENCE
  • 1-3 years of experience in a Receptionist, Administrative Assistant, Front Desk, or similar role
  • Agency, creative, professional services, hospitality, or customer-facing experience is considered an asset
SKILLS
  • Exceptional organizational and time management skills
  • Strong verbal and written communication abilities
  • Ability to handle confidential information with discretion and professionalism
  • Strong attention to detail and follow-through
  • Comfortable managing multiple competing priorities
  • Proficiency with Microsoft Office and business productivity tools
  • Strong problem-solving skills and ability to work independently
EDUCATION:
  • Post-secondary education in Business Administration, Office Administration, Communications, Hospitality, or a related field, or an equivalent combination of relevant experience and transferable skills

The anticipated base compensation range for this role is $45,000-$55,000. Actual base pay offered within this range may differ based on a range of factors, including individual experience, education, skills, and organizational needs.
