)About the position

The Learning Disabilities Association of Ontario (LDAO) is seeking a highly organized, proactive bilingual professional to join our team as Senior Coordinator, Operations and Administration.

Reporting to the President & CEO, the Senior Coordinator provides bilingual operational coordination and administrative support across LDAO, with a primary focus on initiatives funded through the Ministry of Education Transfer Payment Agreement, including LD@school and TA@l’école.

The position coordinates the administrative systems, records, timelines and follow-up needed to support project deliverables and reporting requirements. The Senior Coordinator also supports LDAO’s day-to-day operations, bilingual communications and collaboration among English- and French-language staff, consultants, school boards and external partners.

This role is well suited to someone who is highly organized, takes initiative, works independently and enjoys ensuring that important administrative and operational work moves forward.

Key responsibilities
  • Maintain LDAO’s project-management and tracking systems, organizational calendars, reporting deadlines and required follow-up.
  • Coordinate internal meetings and administrative workflows across English- and French-language work streams.
  • Track outstanding actions, identify missing information or delays and flag matters requiring the attention or decision of the President & CEO.
  • Support the collection, organization and reporting of non-financial information, statistics, evidence and documentation required for Ministry and organizational reports.
  • Support administrative coordination for the Educators’ Institute and Colloque, including communications with English- and French-language school boards and the organization of information needed for event reporting and follow-up.
  • Prepare and adapt employment, contractor, consultant, presenter, vendor and other agreements using approved templates and terms.
  • Coordinate signatures, maintain contract and agreement trackers and ensure completed documents and supporting information are properly filed and shared with the Financial Administrator when required.
  • Maintain administrative records related to invoices, payments and outstanding follow-up.
  • Support the President & CEO and Financial Administrator during the annual audit and other financial processes, including reviewing approval packages for completeness, tracking outstanding documentation and supporting electronic funds transfer approvals and follow-up.
  • Support employee and contractor onboarding and offboarding, track employee vacation and sick leave and maintain contract dates, personnel records and related documentation.
  • Maintain key administrative systems and processes, including SharePoint, Donor Perfect, Mailchimp and organizational contact and distribution lists.
  • Coordinate vendors, subscriptions, technology, equipment and office-related requirements.
  • Provide administrative and logistical support for webinars, including registration and participant information, routine communications, scheduling and follow-up.
  • Monitor and triage shared organizational email and respond to or direct routine inquiries in English and French.
  • Maintain school board, partner and stakeholder contact information and support the distribution of approved newsletters and outreach materials.
  • Draft routine bilingual correspondence, summaries, meeting materials and internal communications.
  • Support the President & CEO by tracking commitments, decisions, deadlines and required follow-up and by preparing materials such as annual report information, Board or Ministry submissions, meeting briefings and contract or renewal summaries.
  • Move routine matters forward independently while identifying issues requiring direction or approval.
  • Perform other related operational and administrative responsibilities as reasonably assigned.
