Office Administrator, Parental Leave Contract (15 Months)
Centre Court is seeking a highly organized and proactive Office Administrator to support the day-to-day operations of our head office and play a key role in keeping the business running smoothly and efficiently. As the first point of contact for employees, visitors, consultants, vendors, and business partners, the Office Administrator plays an important role in creating a professional and welcoming environment while providing broad operational support across the organization.
From managing front office operations and coordinating corporate events to supporting senior leadership and assisting with accounting administration, the Office Administrator serves as a key resource for employees across development, construction, finance, sales & marketing, and customer care.
Reporting to the Vice President, Operations, the Office Administrator will oversee office operations, support internal teams, and help deliver a consistently positive experience for employees and guests.
The ideal candidate is resourceful and service-oriented, with the ability to manage multiple priorities in a fast-paced environment. This role is well suited for someone who enjoys variety, takes ownership of their responsibilities, and takes pride in being the person others can rely on to get things done.
Key Responsibilities Reception & Front Office Administration- Serve as the first point of contact for guests, vendors, employees, and other external stakeholders.
- Manage incoming calls, the general inbox, mail, courier services, and office correspondence
- Coordinate visitor access, office security, and confidential document handling, including sealed tenders.
- Oversee the day-to-day operation of the office, coordinating with property management, vendors, and service providers.
- Maintain meeting rooms, kitchens, common areas, and office supplies.
- Coordinate office maintenance, equipment, technology, and employee onboarding activities, including workspace setup and access credentials
- Provide administrative support including document preparation, filing, meeting materials, and internal communications.
- Coordinate meetings, calendars, catering, travel, gifts, and other administrative requests for senior leadership.
- Support company events, employee engagement initiatives, and office-wide activities.
- Administer corporate credit cards and process monthly expense reports.
- Support Accounting through cheque administration, invoice filing, courier coordination, and other administrative tasks.
- Maintain accurate records and supporting documentation for operational and financial activities.
- Previous experience in Office Administration, Reception, Executive Support, or a similar role.
- Strong organizational and time management skills with the ability to manage multiple priorities simultaneously.
- Professional verbal and written communication skills
- Exceptional customer service and interpersonal skills.
- High attention to detail and strong follow-through.
- Comfortable handling confidential and sensitive information.
- Strong proficiency with Microsoft Office Suite.
- Experience using Rydoo or similar expense management platforms is considered an asset.
- Self-starter who thrives in a fast-paced, team-oriented environment.
- Positive, proactive, and service-oriented approach to work.
