Position: Executive Assistant to the President & CEO

Breakthrough T1D is searching for an experienced professional for the role of Executive Assistant. If you are a highly organized, collaborative and detail-oriented executive support professional who would like to serve as a trusted partner to the President & CEO, coordinate board of governance activities and ensure organizational priorities and strategic initiatives are delivered successfully, please read on to see if this is the right fit for you.

Here’s

what your primary responsibilities would be:
  • Provides high level administrative and executive support to the President & CEO, including managing priorities, schedules, travel and stakeholder engagement activities.
  • Coordinate Board of Directors and Committee operations, including meeting planning, agenda preparation, materials distribution, minute taking and follow-up on action items.
  • Maintain and administer Board governance resources, including the Board Portal, policies, by-laws, committee charters and governance documentation.
  • Support Senior Leadership Team and Senior Management Team operations by coordinating meetings, tracking decisions and ensuring timely follow through on commitments.
  • Assist with organizational planning processes by coordinating timelines, planning sessions, leadership retreats and progress tracking against strategic priorities.
  • Build and maintain positive relationships with Board members, volunteers, donors, staff and external partners while handling confidential information with professionalism and discretion.
Here’s what we’re looking for:
Knowledge/Skills/Experience
  • University degree or college diploma in a relevant field combined with 5-7 years of related office experience or equivalent combination of education and experience.
  • Experience working with a board of directors and executive committees
  • Expert knowledge of office software including Microsoft Office (Word, Excel, PowerPoint, Outlook), Microsoft Teams and Share Point
  • Experience working with a CRM (Clearview, Raiser’s Edge, etc.)
  • Experience with meeting management, i.e. agenda setting, compiling board packages, taking minutes, etc.

Other position requirements to note:
  • Ability to work on occasional evenings and weekends to support board meetings, committee meetings, events, and organizational priorities.
  • Demonstrated ability to maintain strict confidentiality and exercise sound judgement when handling sensitive organizational, governance, donor and personal information.
