Job Posting – Office and Payroll Administrator
Job Summary: The Office and Payroll Administrator oversees and submits bi-weekly payroll, enrolls employees in benefits plan, oversees RRSP deductions, manages office duties and supports the work of the management staff. They will have interactions with all Pegasus stakeholders.
The Office and Payroll Administrator works as part of an office team to ensure that the agency fulfills its mission by:
- Demonstrating value and respect to Pegasus participants.
- Supporting the work of supervisory and management staff.
- Assuming responsibility for high level organization of the office, databases, paper and electronic files.
- Ensuring the accuracy and completeness of bi-weekly payroll for all Pegasus employees
- Facilitating communication amongst staff and various stakeholders.
- Working as part of the administrative team to develop monthly and annual work plans and to oversee their execution.
- Executing projects independently as required.
Duties include, but are not limited to:
Reporting
- Develop high level awareness of reporting requirements to all funders and partners as needed.
- Keep track of time sensitive reporting requirements.
- Carry out reporting independently, in consultation with other staff.
- Report to ODSP for participant volunteers
Payroll/Benefits
- Collect bi-weekly times sheets/hours from employees
- Enter all relevant information into payroll system
- Ensure accuracy in all payroll duties
- Prepare ROEs, LOAs, T4s as needed
- Report on WSIB status monthly
- Ensure wage increases, and benefits enrollments are done in a timely manner
- Ensure enrollment in group RRSP is done in a timely manner.
Occupational Health & Safety
- Act as health & safety representative for office.
- Carry out monthly health & safety duties inspections
IT
- Communicate with IT specialists as needed.
- Maintain computer files of agency materials.
- Maintain the agency databases.
- Effectively use shared data drive to maintain important materials.
- Oversee onsite and program IT needs.
- Update website as needed.
Event Planning
- Assist with the preparation for and management of events and celebrations including annual picnic, staff and volunteer parties and agency AGM.
Administrative Duties
- Become familiar with donor database system
- Issue official receipts to donors as needed.
- File and manage records as needed
- Maintain office supplies and ensure office equipment is in good working order.
Other
- Reconcile store revenue daily and prepare monthly financial report
- Create and distribute monthly e-newsletter
- Scan and send invoices to finance team
Qualifications
- Postsecondary education in related field.
- Proven record of success in similar position.
- Commitment to the agency mission.
- Team player and desire to work with others toward a shared goal.
- Excellent skills in technology and Microsoft Office including Excel.
- Experience in payroll administration, specifically Ceridian payroll system
- Excellent problem-solving skills.

Executive Director
Hours of work
: 40/week. Position has possibility of being a hybrid position upon successful completion of the probationary period
Wage: $50,000 per annum to start
Paid days off
: 9 sick, 15 vacation, 2 personal and birthday
Employee benefit plan after successful probationary period. Enrollment in RRSP after 1 year of successful employment.
