About the Role
The Office Manager supports the daily operations of Sphere Media’s Toronto office and helps ensure that office services, facilities, administrative processes, and internal coordination run smoothly.
This role requires strong organizational and communication skills, discretion, and the ability to work effectively with corporate, production, creative, HR, IT, finance, and external partners in a fast-paced media environment.
Key Responsibilities
- Keep the Toronto office organized, welcoming, functional, and well maintained on a daily basis,including the kitchen and common spaces.
- Order and manage office supplies, equipment, furniture, and other workplace needs.
- Manage couriers, deliveries,guest reception, catering, conference room bookings, and the day-to-day use ofmeeting spaces.
- Manage and maintain office storage spaces, ensuring they remain organized, accessible, and functional.
- Support the implementation ofsimple, efficient office processes and administrative best practices.
- Help ensure the office operates in compliance with applicable health, safety, and workplace requirements.
- Organize employee’s travel,including transportation, accommodations and itineraries.
- Prepare and process expense reports and invoices.
- Coordinate with vendors,service providers, and landlords as required.
- Plan and organize internal events, screenings, and other company gatherings.
- Act as a liaison with HR and ITteams for onboarding, equipment coordination, access needs, and general employee support.
- Relevant experience in office management, administration, operations coordination, or a similar role.
- Hands-on attitude and willingness to support practical office needs, including moving boxes, settingup spaces, and helping with day-to-day workplace tasks.
- Excellent organizational skillsand the ability to manage multiple priorities at once.
- Strong communication skills anda professional, service-oriented approach.
- Ability to work with discretion and good judgment in a fast-paced environment.
- Comfort working with vendors,invoices, expense reports, travel bookings, office supplies, and operational follow-up.
- Experience in media,television, production, creative industries, or a related environment is anasset.
- Proficiency with Microsoft Office tools and general comfort with shared digital systems.
