Your opportunity:
As the MSc/PhD Advisor, you will provide front‑line administrative services in support of the day‑to‑day operations of our graduate programs and courses. The role will provide a first point of contact for inquiries and will provide information and support to students on matters related to the graduate programs from the time of inquiry through their application, orientation, program progression, examination and post‑graduation.
This includes direct support for two key portfolio areas: the administration of graduate awards and scholarships, including eligibility advising, application coordination, and funding tracking; and program completion, encompassing the coordination of oral examinations, monitoring of degree milestones, and supporting students in progressing toward timely degree completion.

Your responsibilities will include:
Advising students on program and/or course requirements by probing and providing a range of options and possible consequences
Providing detailed information on program and/or course eligibility requirements, procedures, policies and deadlines
Tracking and monitoring the distribution of scholarships
Using established criteria when approving awards and/or scholarships
Monitoring student degree progress
Reviewing and assessing student records to confirm eligibility to graduate
Providing detailed information regarding financial awards
Tracking and monitoring distribution of awards and financial aid
Essential
Qualifications:
Bachelor’s Degree or acceptable combination of equivalent experience.
Minimum three years of recent and related student experience working in graduate administration in a post secondary academic environment
Experience working with and processing data in student information systems such as ROSI, ACORN, Slate or equivalent systems
Extensive knowledge of University policy and procedure with emphasis on graduate academic guideline and procedures, SGS policies and other related procedures
Experience coordinating scholarships, awards and/or fellowships including eligibility checks, record keeping, liaising with stakeholders including SGS, etc. – ranking, announcements, etc.
Experience providing administrative support in graduate program completion including MOE, DOE, FOE (e.g., work with SGS for FOE, tracking milestones, time to completion, oral exams, communication / reminders, supporting system development – GMS for tracking, etc.)
Strong working knowledge working with databases and preparing reports
Excellent verbal and written communications skills; ability to understand complex information and policies and successfully translate them to students
Excellent interpersonal and analytical skills. Proven collaborative and teamwork skills
Excellent customer service skills. Shows good problem solving skills, accuracy and the ability to meet multiple deadlines while working in an environment with frequent interruptions
