The Registrar for The Glenn Gould School (GGS) is responsible for overseeing and ensuring the academic integrity of student records and documentation from pre-admission, advising of the admissions committee, and matriculation. The Registrar is a primary contact for all students, as well as a liaison with external institutions such as the Ministry of Colleges, Universities, Research Excellence and Security (MCURES).
MainDuties & Responsibilities
Application & Audition Process and Registration
- Assist with generating Registration Forms and Acceptance Packages.
- Ensure appropriate course registration.
- Track student absences.
- Manage data entry for midterm/final marks.
Budget
- Assist with preparation of annual classroom and private teacher budget(s) for GGS.
Scheduling
- Assist with all aspects of class, instructor, exam, and chamber music jury scheduling.
- Manage and assist with the annual OSAP compliance audit.
- Administer financial aid for all other provinces and territories.
- Administer financial aid for the National Student Loans Centre of Canada.
Students
- Maintain the central database for Program Plans for all students and graduates.
- Manage all aspects of transcript process.
- Facilitate convocation of students.
- Ensure compliance for international students; this includes maintaining proof of valid study permits, helping students renew their permits, and assisting with government audits.
Faculty
- Confirm student enrolment in classes, and generate class lists and marking sheets.
- Manage the course evaluation process, which involves creating evaluation packages, entering responses into Survey program, reviewing responses, and initiating actions (as required).
Academics (in partnership with Assistant Dean, Academics)
- Create and produce the annual Academic Calendar.
- Provide curriculum and/or course counseling, as required.
- Interpret and evaluate transcripts for transfer credits.
- Ensure adherence to Post-Secondary Education Choice and Excellence Act.
Meetings
- Participate as a member of the following GGS committees:
Academic Committee, Program Advisory Committee (Secretary), Dispute Resolution Committee. - Participate in faculty and student meetings, as required.
Special Projects
- Contribute to current projects, such as the development, testing, acceptance and adoption of the new GGS Student Information System.
Perform other duties as required.
Job Requirements
What We're Looking For- Registration experience in a post-secondary school environment.
- 5+ years’ experience in an administrative capacity.
- Bachelor’s degree or equivalent.
- Knowledge of classical music and music pedagogy required.
- Knowledge of music programs on a global basis at both the secondary and post-secondary level.
- Knowledge of Ontario post-secondary system policies.
- Sound judgment, tact, integrity, professionalism, and confidentiality.
- Strong negotiation and stakeholder management skills and experience.
- Excellent counselling, diplomatic and customer service skills.
- Excellent organizational, communication and problem-solving skills.
- Positive attitude and ability to work both independently and in a collaborative team environment.
- Ability to work under pressure.
- Experience and comfort with a variety of software applications such as Student Information System functionality, Access and Publisher.
- Knowledge in maintaining international student compliance.
- $72,000 - $75,000 per annum
- Primarily on-site work arrangement during the academic year, with a hybrid arrangement when feasible based on school operations.
- A Vulnerable Sector Screening Check (VSC) is a required condition of employment.
- Office environment with occasional requirements to work outside of regular business hours.
