Your opportunityThe Faculty of Kinesiology & Physical Education Registrar & Student Services Office is charged with supporting the academic needs of over 1,100 undergraduate and 100 graduate degree students enrolled annually, as well as the 80+ teaching staff who deliver over 150 undergraduate and graduate courses each year.
Working as an integral part of the Registrar’s Office team, the Academic Scheduling & Instructor Support Coordinator is responsible for providing effective and efficient service and support to Faculty and students. The incumbent is responsible for all academic program scheduling, maintains the Faculty instructor handbook, provides administrative support to the Faculty’s petitions and appeals, and coordinates the annual update and production of the Faculty Academic Calendar.
Responsibilities- Collecting and organizing course and/or room requirements for scheduling
- Troubleshooting timetabling and/or room booking conflicts
- Maintaining course information on student information systems
- Preparing and disseminating examination timetables
- Determining logistical details required for alternative arrangements to accommodate exam conflicts for students
- Acting as the first point of contact for KPE undergraduate and graduate instructors for their administrative and logistical needs.
- Keeping well‑informed on University programs, policies and procedures
- Liaising with academic units and stakeholders to support academic calendar production initiatives
- Bachelor's Degree or acceptable combination of equivalent experience.
- Minimum of two years of experience working in an academic environment.
- Minimum of two years of experience using academic course scheduling software, such as CLASS, Fusion, and Infosilem.
- Minimum of two years of experience supporting faculty and working in a student services environment.
- Strong sense of professionalism and a high level of customer service delivery is essential.
- Excellent verbal and written communication, interpersonal, and organizational skills.
- Demonstrate tact, discretion and sensitivity when dealing with confidential matters.
- Demonstrated decision‑making skills in a fast‑paced, dynamic environment.
- Strong computer skills and aptitude in word processing, spreadsheets, database management and website maintenance.
