COORDINATOR, MARKET EVENT PRODUCTION (Multiple positions)

Report to the Manager, Event Production. The coordinator supports planning, coordination, and execution of internal and third‑party events for TIFF:
The Market and TIFF, delivering high‑quality events that meet operational standards and align with both programming and strategic priorities.

RESPONSIBILITIES
  • Coordinate all aspects of event production, including run of show, audiovisual/technical requirements, front of house, food & beverage, facility and security services, and other required services.
  • Propose and ideate event experiences that follow TIFF:
    The Market and TIFF’s strategic priorities and programming initiatives.
  • Lead the production, set‑up, and close‑out of in‑person and digital events.
  • Manage internal and external event communication, information collection, and dissemination for TIFF Lightbox 3rd‑party events and TIFF:
    The Market and TIFF internal events.
  • Liaise with relevant departments regarding Event Production processes and procedures.
  • Maintain and foster client and partner relationships throughout planning and execution.
  • Ensure a positive experience for visitors, patrons and attendees during all event phases.
  • Coordinate building‑facility support for events, including security and cleaning.
  • Oversee preparation of materials and inventory required for events.
  • Coordinate site visits and tours of facilities with third‑party clients.
  • Administer purchase‑order requests, file event reports, and collaborate with the Event Sales department to process estimates and invoices accurately.
  • Perform other related duties as required.
MINIMUM REQUIREMENTS
  • Minimum 2 years’ experience in event planning and production for cultural or corporate events.
  • University degree, college diploma, or equivalent work experience.
  • Experience with festivals is an asset.
  • Well‑developed verbal and written communication skills.
  • Strong project and people‑management skills.
  • Dynamic, outgoing personality with sound judgment, tact, and discretion.
  • Excellent administrative and organizational skills; ability to prioritize and manage concurrent duties.
  • Professional manner and “can‑do” attitude; ability to take direction and show initiative.
  • Ability to work independently and in a team environment.
  • Excellent attention to detail, budgets, timelines, and objectives.
  • Knowledge of Microsoft Office, Google Products, and database software is an asset.
  • Creativity to develop innovative solutions; knowledge of special‑events trends in the cultural sector.
  • Understanding and commitment to superior client servicing.
  • Well‑developed interpersonal and public‑relations skills to interface with senior corporate personnel, TIFF staff, volunteers, and other stakeholders.
  • Ability to work and respond well in fast‑paced, high‑pressure environments.
  • Adaptable to a flexible work schedule, including evenings and weekends.
PAY & CONTRACT
  • Job Grade: 1
  • Salary: $24/hour
  • Contract dates:
    June to September 2026
  • Location:

    350 King Street West, Toronto, ON M5V 3X5 (minimum 2 days in‑office November‑April, 3 days May‑October; full‑time during festival).
