Position Summary
The Events & Activations Assistant supports a wide range of public programs and initiatives at The Bentway, helping to connect diverse audiences with our mission and activities. Working across community engagement, outreach, and event production, the Events & Activations Assistant contributes to building strong relationships with communities, partners, and visitors, while assisting with the planning and delivery of events, installations, workshops, and other cultural experiences in public space.
This role collaborates closely with multiple departments and external stakeholders, serving as an ambassador for The Bentway and helping to promote, implement, and support programs that engage the public and foster meaningful participation.

Responsibilities- Third Party Rentals
- Field inquiries (by phone and email) for space rentals at The Bentway and support the Events Manager in all ongoing event rental conversations
- Together with internal and external stakeholders, determine calendar availability for such events
- Support the Events Manager to determine event requirements and prepare cost estimates, event site layout maps, event license agreements and other event-related documents as needed
- Assist in the coordination of event load-ins, runs and load-out together with seasonal event staff
- Coordinate the completion of event logs and check lists
- Act as an Event Assistant at assigned events
- Serve as a front-line customer service representative for visitors and other members of the public.
- Facilitate entry and exit of visitors in accordance with event protocols, if applicable.
- Assist with and/or perform first aid, depending on training.
- Assisting with crowd control and audience flow, as needed
- Learn about the Bentway and our programs, to be able to answer any questions from the public
- Tracking and recording audience numbers
- Assist with load-in/load out of events and activations setting up tables, chairs, AV equipment, etc.
- Assist with planning and executing public programs and events including Art Socials, Roller Skate Lessons / Party, TRCA Eco Workshops, Dino Runs, and Transform the Trail
- Serving as onsite Event Assistant to Support event load-in, execution, and load-out, including set-up of tables, equipment, signage, etc.
- Signing in registrants of Bentway programs tracking attendance and taking care of any venue or artist needs during the event.
- Coordinate schedules, site visits, checklists, and other logistical documentation.
- Assist with preparing site maps, permits, contracts, and other program-related documents.
- Support financial administration, including invoices and payment tracking.
- Support inquiries related to program rentals and external partner logistics.
- Collaborate with departments such as Communications, Programming, Finance, Development, and Operations to coordinate timelines and deliverables.
- Assist with data tracking, reporting, and other operational needs.
- Perform other duties related to site operations and programming support, as assigned.
- Strong interpersonal and communication skills; comfortable engaging with a wide range of audiences.
- Ability to work independently and collaboratively in a team environment.
- Flexible, adaptable, and able to work outdoors in various weather conditions.
- Comfortable working flexible hours, including evenings, weekends, and holidays as required.
- Experience or interest in arts, culture, event production, or community programming.
- Strong organizational skills and attention to detail.
- Proficiency with Microsoft Office (Word, Excel, Outlook) and willingness to learn other digital platforms.
- Current standard level First Aid/CPR-C is an asset.
