Site Media informs and connects industrial leaders across Canada's construction, infrastructure, water, and environmental sectors, through national publications, events, and awards programs. We're the place where decision-makers in these industries go to stay in the loop and build the relationships that matter.

We're hiring an Events Manager to own the planning, budgeting, and execution of our events portfolio, from national conferences to industry awards nights. This person is the client-facing lead on every event we run, start to finish, and the one who makes sure each event hits its goals for the client, the sponsors, and the business. If you love the mix of big-picture planning and on-the-ground problem solving, this role gives you plenty of both.

So what kind of person fits the role? Someone who's run events end to end and knows what a healthy budget actually looks like, not just on paper. Comfortable being the face of an event for a client, steady when something goes sideways, and just as happy with a spreadsheet as they are on-site solving a problem.

Key Responsibilities

Event Planning, Budget & Execution

  • Develop, manage and maintain event budgets across Site Media's events portfolio, including forecasting, cost tracking, and reporting
  • Work closely with the finance team to set event budgets and revenue targets to ensure profitability
  • Lead the development of a standardized master event template spreadsheet that can be used consistently across all events
  • Ensure an accurate and detailed event spreadsheet is created and maintained for each event, in advance of planning
  • Work with the sales, editorial, and social media teams to track ticket sales, flag and build timelines for major marketing and sales push activities, and flag early when sales, sponsor ships, or ticket numbers are falling behind
  • Utilize Productive (our project management software) to assign tasks and track time across the events portfolio
  • Manage all on-site logistics, including room setups, AV requirements, catering, and venue coordination
  • Build and maintain pre-event run sheets, schedules, and vendor coordination timelines
  • Lead on-site execution, troubleshooting issues in real time to keep events running smoothly

Client, Sponsor & Team Relations

  • Serve as the primary client-facing lead for each event, managing expectations from first conversation through post-event follow-up
  • Build and maintain strong relationships with clients, understanding their goals for each event and ensuring those goals shape how the event comes together
  • Ensure all sponsor deliverables are executed on, serving as the main point of contact for sponsors alongside your event team and sales team
  • Act as the primary point of contact with venues, vendors, and production partners, negotiating rates and contracts where needed
  • Work closely with event coordinators and support staff, managing workflows to keep the team aligned and making sure every team member knows what they're responsible for
  • Coordinate cross-functionally with other Site Group teams (marketing, social, production) to ensure events run seamlessly from planning through execution

Marketing & Documentation

  • Partner with the marketing and social media teams to plan, develop and execute event promotion plans and communications calendars
  • Oversee the creation and distribution of promotional materials for events, including social media assets, email campaigns, printed signage, event programs, and sponsor recognition materials, ensuring all materials are on-brand and delivered on schedule
  • Work collaboratively with the team to develop the annual media kit, including a breakdown of key sponsorship titles
  • Lead post-event evaluations, gathering feedback and performance metrics from clients, sponsors, and attendees
  • Keep all contracts and event-related information organized and up to date in Google Drive, so the team always has a single source of truth
  • Use post-event insights to continuously improve future events and refine internal processes

Qualifications

  • 5+ years of experience in event planning or event management
  • Proven experience developing and maintaining event budgets
  • A creative problem-solver with an eye for experiential design and a passion for crafting unique audience moments.
  • Comfortable serving as the primary client-facing lead on events
  • Strong verbal and written communication skills, with confidence speaking to clients, sponsors, and vendors
