Mount Sinai Hospital Campus - Toronto, ON M5G 1X5 CA (Primary)

Hours:

37.5 hours per week, Monday to Friday.

Salary: CAD $28.15 - $35.19 per hour (2025 SH03)

Temporary Full Time assignment for approximately 18 months

Sinai Health is looking for a Program Assistant to support our Ambulatory Programs in the Department of Psychiatry at our Mount Sinai Hospital Campus.

Reporting to the Administrative Manager, the successful candidate will be responsible for coordination and administrative support of clinical activities in the Department. The successful candidate will demonstrate a strong commitment to quality customer service and apply excellent organizational and communication skills to ensure the delivery of ambulatory care within a busy teaching hospital setting.

Responsibilities
  • Provide day to day administration of outpatient psychiatry services, including the scheduling of appointments, patient registration and frequent interactions with patients both in person and over the phone.
  • Review telephone, faxes, surface mail and email messages including charting and physician notification.
  • Communicate and share clinical information to physicians and allied health team members respecting patient confidentiality and privacy, including retrieval of release of information documents, as necessary.
  • Function in a front line, patient and staff facing public relations role, providing timely, friendly and informative support to patients, staff and learners.
  • Coordinate and maintain clinic schedules to support effective functioning of clinic and patient flow.
  • Provide liaison for logistical preparation of clinical team meetings, teleconferences, video conferences, webinars and other events required within the mandate of an academic health sciences centre.
  • Collect and collate clinic statistics and demographic data on patients and clinic flow.
  • Work collaboratively with and provide back up support to other clinical and administrative areas in the Department when required.
  • Ensure clinical charts are maintained, as required.
  • Perform other duties consistent with the job classification as required.
Job Requirements
  • Successful completion of a college diploma preferably in the field of Medical Office or Business Administration from an accredited educational institution.
  • 5 years of experience in an academic and/or healthcare setting.
Skills and Knowledge
  • Proficiency with Microsoft (Word, Excel, PowerPoint, Access and Outlook).
  • Friendly professional customer focused attitude.
  • Demonstrated ability to work independently in a self-directed manner, meet concurrent deadlines, organize time and priorities, and manage multiple priorities.
  • Flexibility in working with an inter-professional team of health professionals and learners located in different physical environments.
  • Strong work ethic accompanied by a positive, client-focused attitude.
  • Ability to make decisions, exercise good judgment, discretion and initiative in dealing with confidential information and/or responding to enquiries.
  • Strong oral and written communication skills.
  • Demonstrated ability to empathize with patients/clients.
  • Interest and familiarity in the field of mental health is an asset.
  • Proven planning, organizational, and coordination skills.
  • Demonstrated satisfactory work performance and attendance history.
