Key Responsibilities
Patient Financial Support & Communication
- Prepare clear and accurate cost estimates for fertility treatments and review financial obligations with patients in a compassionate and approachable manner.
- Partner closely with physicians, nurses, and administrative teams to remain informed about patient treatment plans and scheduling.
- Respond to patient questions related to costs, insurance, payment plans, and clinic policies through in?person discussions, phone calls, and email communication.
- Guide patients through available financial aid options such as insurance coverage, grants, or third?party financing programs when applicable.
- Maintain up-to-date and compliant patient financial records, ensuring all information is handled with professionalism and confidentiality.
- Review medical records to confirm the correct billing of procedures, medications, and services.
- Track patient accounts, monitor outstanding balances, and follow up on payments in a timely, respectful manner.
- Investigate and resolve issues such as payment discrepancies, underpayments, or credit balances.
- Generate financial summaries and reports as requested by leadership or to meet regulatory requirements.
- Support continuous improvement initiatives and help maintain compliance with clinic finance protocols and industry standards.
- 1-3+ years of experience in a healthcare, medical office, or fertility clinic environment.
- Post-secondary education in medical office administration, business, healthcare administration, or a related field preferred.
- Previous experience in a patient-facing financial role is a strong asset.
- Outstanding communication and interpersonal skills, with the ability to explain complex financial details clearly and empathetically.
- Excellent organizational skills, accuracy, and attention to detail.
- Proficiency in Microsoft Office (Word, Excel, Outlook).
- Experience working with EMR systems; familiarity with eIVF is highly preferred.
- Understanding of OHIP billing procedures and medical financial workflows is an advantage.
- Ability to manage multiple priorities in a fast-paced environment, often involving sensitive or emotional situations.
- Demonstrated professionalism and discretion when working with confidential medical and financial information.
- A collaborative mindset and the ability to work effectively across clinical and administrative teams.
- Strong problem?solving abilities and good judgment.
