About the RoleWe are seeking a highly organized and detail-oriented Healthcare Laboratory Administrator to support the administrative and operational functions of a busy clinical laboratory environment focused on reproductive medicine.
This role is primarily responsible for medical documentation management, patient record administration, laboratory coordination, and regulatory compliance support. The successful candidate will work closely with laboratory staff and clinical teams to ensure accurate recordkeeping, efficient workflows, and smooth day-to-day operations.

Key Responsibilities- Maintain accurate and confidential patient records within the EMR system
- Enter and update patient and laboratory data in relevant databases and registries
- Prepare and manage documentation related to IVF cycles
, including consent forms and treatment documentation - Scan, upload, and organize laboratory and patient records within digital systems
- Verify completeness and accuracy of documentation before submission or filing
- Track outstanding documentation and follow up on pending patient consents
- Prepare reports, patient summaries, and administrative documentation for laboratory leadership
- Respond to calls and emails from patients, clinicians, and internal teams
- Coordinate appointments, laboratory procedures, and related administrative activities
- Prepare charts, summaries, and documentation required for clinical and laboratory workflows
- Send patient documentation and consent forms related to treatment processes
- Maintain professional and confidential communication with patients and healthcare professionals
- Assist laboratory staff with retrieving patient charts and digital documentation
- Support coordination of laboratory samples, including genetic testing shipments
- Assist with receiving and organizing laboratory materials and frozen samples when required
- Monitor laboratory supplies and assist with inventory tracking and ordering
- Support preparation for laboratory audits, inspections, and quality assurance reviews
- Ensure documentation and records comply with healthcare privacy regulations and laboratory policies
- Maintain compliance with applicable healthcare standards and reporting requirements
- Assist with entering data for clinical registries and regulatory reporting
- Support tracking of laboratory operational metrics and reports
- Bachelor’s degree required;
Master’s degree (M.Sc. or related field) preferred - Minimum 3 years of experience in medical or healthcare administration
, preferably within a clinic or laboratory setting - Experience working with Electronic Medical Records (EMR) systems
- Experience managing medical documentation, patient records, and administrative workflows
- Familiarity with medical terminology and healthcare administrative processes
- Experience with laboratory information systems (LIS) or clinical registries is considered an asset
- Strong proficiency in Microsoft Office and digital documentation systems
- Excellent organizational skills and strong attention to detail
- Strong written and verbal communication skills with patients and healthcare professionals
- Ability to manage confidential patient information with discretion
