The Proxy Voting Analyst is responsible for supporting proxy voting operations while contributing to broader sustainability (ESG) and corporate governance objectives. The role integrates operational execution, stewardship support, data analysis, and process improvement, ensuring proxy voting activities align with internal governance policies, regulatory requirements, and responsible investing principles.

The successful candidate will develop a strong understanding of investment operations, proxy voting mechanisms, corporate governance frameworks, and ESG stewardship practices, while contributing to a dynamic and evolving operating environment.

Responsibilities
Proxy Voting Operations & Execution

• Support the end-to-end proxy voting lifecycle, including monitoring, reconciliation, and processing of proxy materials to ensure accuracy and completeness across systems and custodians.

• Execute proxy votes on third-party platforms within established deadlines, ensuring adherence to market timelines and operational controls.

• Support the execution of proxy-related initiatives and seasonal deliverables, including tracking key milestones, deadlines, and dependencies

• Assist in coordinating activities across internal teams, custodians, and external vendors to ensure alignment and timely completion of deliverables

• Maintain accurate proxy records and support the preparation of reporting deliverables and regulatory filings, ensuring audit readiness and transparency.

• Support the delivery of proxy-related initiatives by tracking milestones, coordinating inputs, and contributing to process enhancements, documentation, and consistent execution of workflows.

• Maintain documentation of procedures, requirements, and changes to support consistency and knowledge sharing

• Analyze operational data and workflows to identify trends, gaps, and improvement opportunities; translate business requirements into actionable solutions; and leverage tools (e.g., Power BI, Power Automate, Power Apps) to enhance reporting, efficiency, and decision-making.

Sustainability & Governance (Stewardship) Support

• Assist in applying proxy voting guidelines in line with corporate governance and ESG principles.

• Support the review of ballot items, including environmental, social, and governance topics, following established internal guidelines.

• Help prepare and maintain data for stewardship reporting, including voting records and regulatory requirements.

• Work with Sustainability, Investment, and Governance teams to support day-to-day proxy voting activities and ensure processes are followed.

• Support updates to proxy voting guidelines and policy documentation.

• Utilize AI technologies to enhance efficiency and consistency in applying proxy voting guidelines.

• Help analyze proxy voting trends and review peer asset manager practices for insights and benchmarking.

• Support updates to processes based on evolving regulatory and market conditions

• Assist in creating training materials to help stakeholders understand updated proxy processes and guidelines

Coordination & Stakeholder Management

• Coordinate activities across internal teams (Sustainability, Compliance, Legal, Operations, Investment etc. ), custodians, and external vendors to ensure timely and accurate execution of proxy-related deliverables.

• Track milestones, and deadlines to ensure efficient delivery of time-sensitive activities.
