About the Role

We are seeking a highly organized and proactive IT Project Coordinator to join our Broker Technology Support Team (BTS). The IT Project Coordinator will work closely with project managers, technical teams, business stakeholders, and vendors to coordinate project activities, maintain project documentation, track progress, and ensure project deliverables are completed on time and within scope.

Responsibilities
  • Project Documentation: Maintain project plans, schedules, and status reports; ensure technical documentation, system updates, process documentation, SOPs, and user guides are accurate, current, and accessible.
  • Meeting & Communication Coordination: Schedule project meetings and workshops with stakeholders; prepare meeting agendas, document minutes, track action items, and facilitate communication between cross‑functional teams.
  • Progress Tracking & Reporting: Monitor project milestones, deliverables, and dependencies (e.g., Broker Management System upgrades, audit responsibilities); update status reports and dashboards; provide regular visibility into project health, risks, and progress; assist with executive and stakeholder presentations.
  • Resource Coordination: Coordinate IT resource schedules; support vendor engagement activities; ensure resources are allocated effectively across competing priorities.
  • Risk & Issue Management: Identify bottlenecks and risks; track issues, system performance concerns, and vulnerabilities; maintain risk and issue logs; support mitigation planning.
  • Process Improvement: Recommend and implement improvements to coordination processes and reporting practices; support continuous improvement of project management standards, templates, and methodologies.
Qualifications
  • Bachelor’s Degree or Technical Diploma in Information Technology, Computer Science, Business Administration, or related field.
  • 2–4 years of experience in project coordination, project administration, or a related technology support role.
  • Experience supporting technology, application, or business transformation projects.
  • Familiarity with project management methodologies (Agile, Waterfall, or Hybrid).
  • Familiarity with the Software Development Life Cycle (SDLC).
  • Experience with audit tasks and documentation; audit timelines is an asset.
  • Experience with Broker Management Systems (Applied Epic, ARS) is an asset.
  • Proficiency with Microsoft 365 applications (Excel, PowerPoint, Word, Teams, SharePoint).
  • Exceptional organizational, multitasking, analytical, problem‑solving, written and verbal communication skills.
  • Ability to work effectively in fast‑paced, evolving, and sometimes ambiguous environments.
  • Strong attention to detail, commitment to quality, and collaboration across technical and business teams.
  • Insurance industry experience, RIBO/AIC, CIP/CAIB or ITIL general knowledge is an asset.
  • CAPM, PMP, or other project management certifications are an asset.
Benefits & Compensation
  • Base salary range 59,300 – 72,500 (based on a 35‑hour workweek).
  • Incentive plan:
    Annual bonus 7.5% target, potential payout up to 200% (subject to performance).
