Position: Office Services Coordinator - News Technology (Global)

About the Role: We are seeking a full‑time Shipper / Receiver based in Toronto. The successful candidate will bring strong receiving, inventory control, and documentation experience, along with hands‑on knowledge of Canadian customs clearance processes to support the timely intake, release, and internal coordination of imported goods across office and warehouse operations.

The successful candidate must be available to work weekdays with flexibility for occasional overtime or adjusted hours based on shipment schedules, internal priorities, and operational requirements.

You will contribute by:

  • Receive, inspect, and verify imported shipments against packing slips, purchase orders, commercial invoices, and other customs and shipping documents.
  • Coordinate inbound domestic and cross‑border shipments with carriers, freight forwarders, and customs brokers to support timely customs release, delivery, and internal distribution.
  • Support Canadian customs clearance activities by ensuring import documentation is complete, accurate, and available for review prior to release.
  • Review commercial invoices, tariff‑related information, country‑of‑origin details, and shipment records for completeness and accuracy.
  • Track inbound shipments and proactively follow up on delays, shortages, damaged goods, held freight, or clearance issues.
  • Work closely with internal stakeholders, including purchasing, finance, warehouse, and operations teams, to resolve documentation discrepancies and support efficient release of imported goods.
  • Maintain accurate receiving, customs, inventory, and shipment records using manual and computerized systems, including ERP or inventory platforms where applicable.
  • Coordinate the unpacking, labelling, routing, and storage of incoming goods in accordance with internal procedures and operational requirements.
  • Support inventory accuracy through cycle counts, reconciliation of received goods, and investigation of receiving discrepancies.
  • Assist with document retention and record‑keeping requirements related to imported commercial goods, internal compliance processes, and ATA Carnet documentation where applicable.
  • Prepare internal status updates and communicate shipment, receipt, and exception details clearly to relevant stakeholders.
  • Support material handling and inbound freight activities safely and efficiently in coordination with warehouse requirements.
  • Maintain a clean, safe, and organized work area and perform other related duties as assigned.

Skills and experience you will bring:

  • High school diploma or equivalent; post‑secondary education in logistics, supply chain, business operations, or a related field is an asset.
  • Demonstrated experience in receiving, import coordination, warehouse administration, or logistics operations.
  • Experience supporting or coordinating Canadian customs clearance processes for imported goods.
  • Working knowledge of import documentation, including commercial invoices, packing slips, bills of lading, and customs‑related forms.
  • Familiarity with Canadian import documentation requirements, customs release processes, and coordination with customs brokers is strongly preferred.
  • Experience preparing, coordinating, or reviewing ATA Carnets and related temporary import documentation is strongly preferred.
  • Understanding of importer of record responsibilities, shipment accuracy, documentation control, and internal compliance processes is an asset.
  • Strong attention to detail and accuracy when verifying received goods, shipment contents, customs documentation, and system records.
  • Experience using shipping, receiving, inventory, or ERP systems to maintain records, monitor shipments, and support reporting requirements.
  • Good understanding of inventory control practices, warehouse procedures, and internal material flow processes.
  • Ability to identify and elevate discrepancies, held shipments, damaged goods, or documentation issues in a timely and professional manner.
  • Strong written and verbal communication skills and the ability to work effectively with internal stakeholders, carriers, vendors, and customs partners.
  • Ability to work independently and collaboratively in a fast‑paced office-and-warehouse environment.
  • Proficiency with Microsoft 365 applications, including Outlook, Word, and Excel.
  • Physical ability to lift, move, and handle materials safely, with experience using pallet jacks, hand trucks, or forklifts considered an asset.
  • A valid driver’s license and a satisfactory driving record are assets.
