About us:

Procurement Services (St. George) is responsible for procurement governance at the University of Toronto, setting the standards, policies, and processes that guide purchasing and procurement across all campuses. The Programs & Operations team supports university-wide processes such as P-Cards, the vendor master, and uSOURCE, while the Acquisitions & Sourcing team manages public procurement for the St. George campus. Working closely with other procurement professionals across the University, we provide a coordinated, transparent, and accountable approach that enables departments, researchers, and staff to procure effectively and responsibly, grounded in a culture of teamwork, collaboration, diversity, inclusion, and continuous improvement.
As a Procurement Support Coordinator on the Acquisitions and Sourcing team, you will play a key role in keeping the team’s procurement activities organized and moving forward. You will support Procurement Officers with the coordination of sourcing activities, including posting and monitoring procurement opportunities, maintaining procurement and contract information, and preparing regular reports. You will also respond to enquiries from the University community and suppliers about sourcing processes and procedures, maintain online information and resources, and work closely with the Manager and team to coordinate workflow, communications, and timely follow-up.
Your Responsibilities will include:
Acting as the first point of contact for general enquiries
Acting as a point of contact for external clients and vendors
Listening actively to clients with concerns
Responding to enquiries within the defined scope of the role and redirecting as appropriate
Resolving issues within the scope of the role and escalating problems as required
Handling sensitive and/or confidential information
Writing routine documents and correspondence
Verifying the accuracy and completeness of documents
Creating and updating records
Verifying that University procurement and related policies are followed
Essential

Qualifications:

Advanced College Diploma, three years.
Minimum five years of related experience.
Experience providing customer service and administrative support.
Experience maintaining records, databases, digital platforms and web-based information.
Experience supporting purchasing activities, including reviewing quotations and verifying compliance with established policies and procedures.

This is a one (1) year term position. This position follows a hybrid work arrangement. The successful candidate will be required to work on the St. George campus four (4) days one week and three (3) days the following week, on a rotating biweekly schedule. This work arrangement is based on current operational requirements and may be subject to change.
