JLL is seeking a dynamic and customer-oriented individual to join our Property Management Team at University Centre as Senior Property Administrator. You will play a crucial part in ensuring the smooth operation of our buildings by efficiently handling tenant inquiries and providing exceptional administrative support. We will rely on your level‑headedness and professional demeanor to handle sensitive and urgent requests. You will have primary responsibility for accounts receivables and ensuring tenant accounts are up to date.
This role is on‑site 4 days/week with flexibility to work one day remotely. If you thrive in a customer‑centric role and have a keen interest in property management and real estate, this is an excellent opportunity to grow your career.
- Tenant Relations & Service:
Initiate and follow up on tenant service requests, maintain professional relationships with tenants, vendors, and contractors, and assist with tenant appreciation events and marketing initiatives. - Administrative Support:
Act on behalf of Property Manager when absent, assist with reporting requirements, and maintain emergency procedures and tenant guides. - Financial Management:
Maintain tenant accounts, process charges and credits, manage collections, and handle new tenant setup including deposits and insurance requirements. - Insurance & Compliance:
Coordinate annual tenant insurance certificate updates through Prism Building Engines and ensure compliance with lease requirements. - Project & Cost Control:
Set up and monitor cost control projects monthly, manage lease amortization charges, and prepare required reconciliations with proper approvals. - Sales & Revenue Reporting:
Prepare monthly gross sales reports, annual percentage rent reconciliations, variance analysis with commentary on significant changes, and monthly parking revenue reports. - Year‑End Processes:
Handle tenant recovery documentation, input normalized budget information, and prepare annual rent schedule letters and documentation. - System Management & Budget Support:
Monitor purchase order and real estate systems, process invoices, resolve accounting issues, and assist with annual budget planning.
- 3+ years’ experience in a commercial property, preferably in operations or tenant management
- Good interpersonal, communication and team skills.
- Proficent in Accounts Receivables
- Aptitude for servicing tenants with the ability to see both the customer’s perspective and the impact on the organization.
- Ability to multi‑task and prioritize to meet changing demands and expectations of clients.
- Rel Estate budgeting software such as REALM and CTI an advantage.
- Relevant post‑secondary education (college diploma or university degree) is an asset.
