Job Summary
We are seeking a well‑experienced, competent Property Administrator responsible for the daily tenant and lease management of one multi‑residential apartment complex in Scarborough on behalf of the owners. The ideal candidate must have good interpersonal skills and be a good team player.
Job Responsibilities- Establish and maintain professional working relationships with tenants, vendors, building security, cleaners and various contractors to ensure smooth operation of the property.
- Assist Property Manager with monthly/quarterly reporting requirements including financial variance analysis, vacancy/leasing status reports.
- Distribute all‑resident hard/soft copies of communication materials, e.g. welcome/move‑in tenant notices, memos and emergency procedures packages.
- Prepare resident arrivals ensuring smooth move‑in and move‑out coordination, booking elevators where applicable.
- Prepare required forms and documentation in accordance with the Residential Tenancies Act related to claims, collections, evictions, rent increases, chargebacks etc.
- Be well versed in LTB and leasing procedures.
- Understand the Residential Tenancies Act with respect to landlord rights and obligations, for example, notice of entry, request for access, etc.
- Process and monitor purchase orders and invoices in Yardi in a timely manner to meet AP deadlines.
- Maintain a contract service vendor log containing contract amounts and commencement and expiration of services being performed.
- Maintain insurance binders and WSIB clearances for residents and vendors.
- Maintain information sheets, e.g. tenant contacts, key fobs, license plates, locker numbers and handicapped and parking lists and shared facilities member lists.
- Assist the Property Manager in monitoring cost control projects monthly to ensure their accuracy and that the appropriate approvals are in place. Review lease set up charges and monthly rent rolls for accuracy.
- Serve as backup to Building Manager for tenant service requests to be addressed by the operations team and follow up to make sure that issues are resolved effectively on a timely basis and entered into Yardi once completed.
- Assist Property Manager with viewing, vetting and leasing vacant units to prospective tenants.
- Purchase order and work order processing.
- Other duties and special projects as assigned.
- A minimum of three (3) years’ (full time) experience in the field of leasing and multi‑residential property administration.
- Experience and proficiency in Yardi, Microsoft Office and internet skills.
- Strong administrative, organizational and problem‑solving skills.
- Excellent verbal and written communication skills and attention to detail.
- High tolerance to stress.
- Good team player, mature, able to work under pressure and possess good interpersonal skills.
- Available immediately is highly preferred.
Job Types: Full‑time, Permanent
Pay: $42,000.00-$50,000.00 per year
