Position Summary

Reporting to the VP of Sales, the role is responsible for mortgage broker sales and portal support, data management and compliance as well as general operational support.

Duties & Responsibilities
  • Provides administration support for Salesforce Sales Cloud reporting, the Broker and Client Portals, and the Haventree Loyalty Program (including registrations, emails, point redemptions and tagging accounts.)
  • Supports internal and external clients for occasional technical issues or field inquiries from the operational teams.
  • Facilitates the onboarding of Mortgage Brokers into LMS software and Salesforce systems.
  • Conducts screening and compliance checks to ensure Brokers are in good standing with regulators.
  • Conducts periodic reviews of Broker performance and licensing to limit risk and ensure high quality business standards.
  • Maintains and organizes the database of Brokers and accounts to ensure data quality and integrity.
  • Daily monitoring and updating of external rate boards/product sites that support broker partners.
  • Provides administrative support to stakeholders as required.
Qualifications & Experience Degrees, Diplomas & Certifications
  • The position typically requires a college diploma, or equivalent.
Years and Range of Experience Required to Perform the Job
  • The position requires at least 2 years’ experience working in a financial services environment in sales support, mortgage broker relations or administration.
  • Demonstrates working experience with Salesforce Sales and Community Clouds.
  • Must be bilingual (English/French) with strong French language skills (both written and verbal).
  • Strong expertise with Microsoft products including Excel (Pivot Tables) and PowerPoint.
  • Demonstrates an ability to deal comfortably with all levels of both internal and external contacts with a friendly, professional attitude.
  • Solves problems related to general operational support.
  • Provides support to internal and external clients on technical issues or field inquiries.
  • The position uses computer skills for data management.
  • The position is required to use little or no physical effort to perform duties.
  • Duties are performed in an office environment.
  • Sensitivity Level 3.
