As a Perioperative Administrator you will provide a robust administrative service within Perioperative Medicine that is effectively delivered to patients and members of the Department.
This will be through the delivery of a comprehensive administrative service to a speciality team, consisting of Consultants and Associates.
Key Responsibilities- Act as the first point of contact with patients recognising that this is a stressful time for them and they may be anxious
- Deal with queries and take relevant action using professional judgement
- Work with very little supervision, prioritising and managing own workload day to day
- Carry out duties and responsibilities in accordance with Trust's Policies and Procedures
- Monitor investigations, including echocardiograms and the anaemia pathway
- Maintain a high level of accuracy and confidentiality
- Manage the Perioperative Rota and liaise with the Chairperson, Consultants and Practice Manager to ensure cover is appropriate, sufficient and workable
- Liaise with external doctors and/or hospitals to arrange CPET visits and coordinate patient notes
- Arrange file share access for new doctors or staff members
- Treat service users with courtesy, dignity and respect; strive to continually deliver quality care
- Identify areas for service improvement and support implementation
- Communicate well with all members of staff and service users
- Produce and update Standard Operating Procedures (SOP) for all aspects of the Perioperative Medicine Clinic
- Ensure key service delivery targets are met by managing demand within the Perioperative Service
- Provide non-clinical advice to patients and their families
- Identify potential candidates for the Perioperative Quality Improvement Programme (PQIP) and enter data onto the PQIP database and spreadsheets; monitor data and identify problems
- Obtain medical records for patients when discharged to ensure accurate record keeping
- Prepare for and participate in the weekly Vascular MDT Meeting; identify local patients, print relevant documents, and forward to the Consultant
- Coordinate with external agencies such as hospitals and general practices to request and coordinate patient notes
- Participate in the induction of new staff, demonstrating administrative duties
- Arrange access for new doctors/members of staff to the Perioperative Medicine Drive
- Arrange outpatient appointments, ring patients and explain process, and manage booking systems
- Prepare clinic documentation, ensuring referral letters attached; file documents in medical notes and update IHCS
- Maintain weekly Perioperative Rota, update IHCS and diaries, negotiate additional clinics with Practice Manager
- Review referrals and allocate to CPET, generic or consultant review; prioritise booking CPET patients
- Type dictations for various clinics and ensure letters are validated, sent and attached appropriately
- Prioritise notes from Pre-Assessment/Day Surgery for urgent review by Anaesthetist
- Ensure MAT referrals are scanned, emailed and updated in IHCS and PICIS
- Monitor and update workload on PICIS for awaiting actions, book ITU/HDU beds, send blood results and manage anaemia pathway
- Perform consumables stock take monthly, order supplies, arrange trays in CPET room
- Answer internal and external incoming calls, manage priorities, and respond to emails; maintain filing system
- Liaise with Estates for building repairs and the help desk for computer problems
Our team works with Consultants to ensure patients are better prepared and informed for surgery, aiming to reduce perioperative morbidity and enhance recovery. The post holder works with very little supervision, prioritising and managing own workload day to day.
