Job Purpose
This role provides administrative support to paralegals and attorneys within the legal team.
Key Accountabilities- Perform administrative assistance to paralegal(s) and attorneys:
- Produce and distribute correspondence (typing, filing, data entry)
- Set up litigation, warranty, subpoena, and transactional matters in the matter management system
- Process settlement checks, auction proceeds, and sales tax checks
- Organize and schedule meetings and appointments
- Book travel arrangements
- Submit and reconcile expense reports, payment requests, and check requisitions
- Prepare presentations and reports
- Projects:
Participate in the planning and execution of assigned Law & IP projects - Back Up: Provide back up to other admin assistants
- AA degree preferred but not required
- Minimum of 5 years of administrative assistant experience and/or at least 2 years of experience working in a law office or corporate law department
- Time management skills, flexibility, and attention to detail are essential
- Good communication and organizational skills
- Good listener
- Good writing
- Knowledge of litigation is preferable (if supporting the litigation legal team)
- Proficiency with MS Office:
Word, Excel, and Power Point - Ability to understand and work with different computer databases
- Being bilingual in Spanish is nice to have
