Primary Duties and Responsibilities
  • Provide age-appropriate patient assessments and interventions.
  • Room patients; obtain, measure, and document vital signs and pertinent clinical information in the electronic medical record (EPIC/Care Connect).
  • Prepare patients and treatment rooms for examinations and procedures.
  • Assist physicians and clinicians during office visits and special procedures.
  • Administer medications and injections as directed and within scope of practice.
  • Perform EKGs, venipuncture, waived laboratory testing, and vision and hearing screenings.
  • Prepare, label, and transport laboratory specimens according to policy.
  • Recognize abnormal clinical findings and laboratory results and report promptly to the provider.
  • Perform Basic Life Support (BLS) and assist patients during emergency situations.
Documentation and Health Information Management
  • Accurately document all patient care activities in EPIC/Care Connect.
  • Review patient charts prior to visits to identify pending reports or follow-up needs.
  • Maintain medical records in accordance with departmental, regulatory, and privacy requirements.
  • Respond to Care Connect in-basket messages and patient communications (e.g., MyUCLAHealth) in a timely manner.
  • Prepare reports and supporting documentation for physician review.
Patient Experience and C-I-CARE Practices
  • Consistently demonstrate UCLA Health C-I-CARE patient experience practices in all interactions with patients, families, visitors, and staff.
  • Introduce self and role; clearly explain care activities, expected time frames, and next steps.
  • Address patients using their preferred name and title while maintaining privacy, dignity, and confidentiality.
  • Anticipate and respond promptly to patient and family needs, questions, and concerns.
  • Practice professional phone etiquette and exit interactions courteously with clear follow‑up communication.
  • Serve as a role model for professionalism, teamwork, and positive problem‑solving.
  • Comply with Health System Workplace Conduct and Dress Code policies.
Clinic Operations and Workflow
  • Organize and prioritize tasks to facilitate smooth patient flow.
  • Participate in unit staff meetings and in-service education to support process improvement initiatives.
  • Participate in the creation and maintenance of clinical schedules and assigned duties lists.
  • Maintain par levels for clinical and medication supplies and place orders weekly or as needed.
  • Inventory, organize, and manage medical supplies, equipment, and sample medications.
  • Maintain quality control logs, refrigerator/freezer temperature logs, and equipment checks per policy.
  • Recognize and report equipment malfunctions to management.
Administrative and Front Office Support
  • Assist with front office functions including telephone communication, appointment scheduling, chart preparation, filing, faxing, photocopying, and prescription refills.
  • Perform computer data entry and complete required forms accurately and timely.
  • Follow proper channels of communication and chain of command.
Training, Compliance, and Professional Responsibilities
  • Assist with orientation of new healthcare personnel to clinic layout, equipment, and general policies and procedures.
  • Interact cooperatively and professionally with physicians, patients, staff, and other departments, including in high‑pressure situations.
  • Adhere to all University, Health System, and departmental policies and procedures.
  • Comply with all safety regulations regarding Bloodborne Pathogens and hazardous materials.
  • Perform other duties as assigned.
Job Qualifications
  • Medical Assistant Certificate from an accredited program.
  • Minimum of two years of clinical experience in an ambulatory or outpatient setting.
  • Current Basic Life Support (BLS) certification from the American Heart Association or American Red Cross.
