Alittle bit about the role…
We're looking for an Executive & Operations Coordinator to be the organizational backbone for Kent's senior leadership team. This person will keep our leaders' calendars, contracts, meetings, and follow-ups on track so they can stay focused on growing the business. This is an early-career role - ideal for someone with a job or two under their belt who is highly organized, loves keeping the ducks in a row, and wants exposure to how a growing company runs across sales, operations, and leadership.
We have strong systems in place; we're looking for someone who can learn them quickly, keep them running, and spot ways to make them run a little smoother. There's real room to grow here - team members who started in support roles at Kent have gone on to take on bigger responsibilities across the business.
Reporting to Kent's senior leadership team, the Executive & Operations Coordinator will be responsible for the following:
- Managing calendars and schedules for senior leaders, acting as a gatekeeper for their time and keeping them on track with reminders for upcoming deadlines and to-dos.
- Preparing leaders for meetings - pulling together materials, outlining what needs to happen, and identifying who should attend.
- Attending operations meetings to capture notes, assignments, and owners, then following up to make sure action items are completed and updated.
- Owning and maintaining our workspace so projects, assignments, and timelines stay current and accurate.
- Managing annual renewals of exclusive distributor contracts - tracking renewal dates, preparing paperwork for signature, and coordinating with distributors.
- Organizing presentation content and partnering with the marketing team on final slide design.
- Coordinating employee care and recognition - sending flowers, gift baskets, and cards to team members during life events like surgeries, family losses, and other milestones.
- Supporting additional administrative and operational projects as the role and company grow.
- You bring 1-3 years of experience in an administrative, coordinator, operations, or similar support role.
- You're exceptionally organized and can juggle multiple people, deadlines, and moving pieces without losing track of details.
- You write clearly and professionally - full sentences, polished emails, no shorthand.
- You're comfortable with technology and pick up new tools quickly. Experience with , Microsoft Office, or similar project management tools is a plus!
- You have a background in communications, education, business management, or a related field. This is a plus, and not required!
- Proactive - you don't wait to be reminded; you're the one doing the reminding.
- Discreet and trustworthy with calendars, contracts, and confidential information.
- Comfortable supporting multiple leaders while keeping priorities clear and responsibilities well-defined.
- Adaptable - our team and company are growing, and this role will evolve as we do.
- Comfortable working independently in a remote environment while staying accountable through regular check-ins and task tracking.
