Position: Mailroom Clerk II 2025

Description and Functions - Open Until Filled

The Wyoming Department of Corrections is seeking a detail-oriented and dependable Mailroom Clerk to provide mailroom services within a correctional institution. This position is responsible for performing the daily operations of the facility’s mailroom, including sorting, screening, and distributing incoming and outgoing mail, as well as handling computer‑based administrative duties.

Essential Functions
  • Process, open, and scan incoming and outgoing inmate mail to reduce contraband introduction and promote safety and security.
  • Accurately receive money.
  • Handle contraband identification and processing.
  • Operate mailroom machinery and/or data center printers.
  • Train other employees on areas of expertise, as needed.
  • Process and track outgoing inmate packages.
  • Retrieve and deliver all mail to and from the Post Office, including institutional mail.
  • Inform inmates and staff of postal service changes such as postage rates, international mail addressing, and operation and maintenance of the postage meter.
  • Record all incoming and outgoing legal mail and process regular mail, as well as incoming inmate legal mail.
  • Coordinate mail activity with other areas by scheduling delivery times and places to maintain institutional good order and security.
  • Handle contamination and biohazards, including signatures when dealing with health labs.
  • Scan for contraband and other prohibited items in inmate and staff mail, retrieving and delivering all correspondence to and from the Post Office.
  • Identify, flag, and share relevant inmate management information with appropriate staff.
  • Gather information from PSI and social history; input into a database for inmate’s immediate family members.
  • Act as the subject‑matter expert in a specific mailroom function, including mail‑related computer and database programs.
  • May act as the Mail Services Supervisor in their absence.
  • Participate in initiatives designed to promote a positive work environment.
Qualifications

Preference may be given to applicants who have mailroom experience or who have worked in a correctional setting.

Knowledge
  • Knowledge of the use of computers.
  • Knowledge of the Inmate Funds program for receipts of incoming money.
  • Knowledge of court decisions, institutional, and Department of Justice policy.
  • Knowledge of inmate movement and the inner workings of correctional institutions.
Minimum Qualifications

Education: High School Diploma

Experience: 0-1 year of progressive work experience (typically in Business) with acquired knowledge at the level of a Mail Clerk I

Certificates, Licenses, Registrations: Must possess and maintain a valid driver’s license.

Education & Experience Substitution: 1-2 years of progressive work experience (typically in Business) with acquired knowledge at the level of a Mail Clerk I

Necessary

Special Requirements
  • Must be able to lift 50 pounds, withstand weather extremes, and maintain a good working relationship with staff.
  • Exposure to hazardous materials, bodily fluids, chemicals, body parts, bio‑hazards, and potential explosives requires handling time‑sensitive mail, constant exposure to elements, driving delivery vehicles, and operating large and complex mailroom equipment.
  • Exposure to inside and outside environmental conditions.
  • Walking on cement floors regularly.
  • Stooping, bending, kneeling, and crouching on an occasional basis.
  • Reaching regularly.
  • Typing/repetitive motion frequently.
  • Pre‑service training is required.
