The College of Fine Arts & Communication is accepting applications for an Administrative Assistant I. The Administrative Assistant I will be responsible for assisting the chairperson and area coordinators to meet the department priorities and goals through administrative operations for the department and Community art center.

Responsibilities and Duties
  • Responsible for editing, formatting, and revising a variety of documents, screen telephone calls and visitors, order supplies and equipment, and make travel arrangements. Administer Federal Work Study onboarding and supervise.
  • Serve as the course schedule coordinator. Collaborate with the faculty to create
    course schedules and assign instructors for all semesters and upload them into the system. Manage course seat reservations, cancelling and/or adding sections and requesting late registrations.
  • Establish and maintain new social media outlets; alumni relations/web updates; registration for Art Major for A Day.
  • Oversee material management and work requests; contact personnel for classroom issues and access, assist with report writing; provide assistance with art gallery with marketing and catalogs; monitor balance of Federal Work Study payouts, and completion of projects as needed.
  • Assist the Director in planning and execution of Community Art Center programs registration for classes; managing health forms; answering questions from parents; overseeing classes as needed; initiate contracts for teacher hires; data management including budget and spreadsheets; data entry. assist with
    marketing programs –including email and social media campaigns.

This position will include Saturdays on an occasional basis when communication classes/programming are in session.

Qualifications and Skills

Required Qualifications:

High School Diploma or GED

Two years of experience providing administrative support

General knowledge of and skill in the practical application of generally accepted office practices and procedures. Ability to communicate effectively both orally and in writing. Ability to proofread and edit written documents. Skill in various computer software packages, such as word processing, spreadsheets, database and presentation programs, Internet, email and calendaring software. Ability to understand and follow oral and written instructions.

Ability to interact effectively with internal and external parties in a courteous and efficient manner. Ability to plan, organize, prioritize, and execute multiple and continuing assignments with general instructions.

Except for qualifications established by law, additional related experience and formal education in which one has gained the knowledge, skills, and abilities required for full performance of the work of the job class may be substituted for the education or experience requirement on a year-for-year basis with 30 college credits being equivalent to one year of experience.

Preferred Qualifications:

Proficient in Peoplesoft and CLSS (course scheduling software).

Interest in the arts and commitment to supporting arts-related programs and initiatives.
