Academic Program Specialist, Department of Psychology (260000P6)

The Psychology Department at Towson University welcomes applications for an Academic Program Specialist. Under general supervision, the Academic Program Specialist will coordinate the operational tasks involved in the day-to-day administration of academic programs in psychology. The Primary roles and responsibilities shall include management tasks related to five graduate programs in psychology including support of 200 students and 30-40 faculty; communication tasks related to graduate program support;

budget management; and other departmental tasks as assigned.

Responsibilities and Duties
  • Receives, screens, and responds to inquiries on the phone, in person, or in writing. Provides general information about academic programs such as admission requirements, basic academic policies, and general program content.
  • Maintains and monitors the budget. Records details of financial transactions and processes documents such as invoices, vouchers, receipts, reimbursements, and requisitions. Prepares financial statements and summaries.
  • Coordinates administrative processes involved in supporting academic programs in the psychology department including recruitment, selection, registration, orientation, and progression of students.
  • Ensures that all required forms and documentation are complete by proper deadlines. Compiles, updates, and maintains all records related to assigned administrative processes.
  • Assists in planning and coordinates all activities involved in organizing lectures, conferences, seminars, workshops, symposia, and special events.
  • Assists in the design, edits, and prepares drafts of marketing, public relations, and other informational materials. Coordinates printing and publication requirements with university or other external resources.
  • Serves as the liaison between students, faculty, or department staff regarding payroll, benefits, reimbursements, and other administrative matters.
The work schedule for this position may include evenings on an occasional basis.
Telework may be available for this position up to two days per week following the completion of 90 days of service in good standing. Qualifications and Skills

One year experience in administrative staff work.

General knowledge of and skill in the practical application of generally accepted office practices and procedures. Ability to communicate effectively both orally and in writing. Ability to proofread and edit written documents. Skill in various computer software packages, such as word processing, spreadsheets, database and presentation programs, Internet, email, and calendaring software. Ability to understand and follow oral and written instructions.

Ability to interact effectively with internal and external parties in a courteous and efficient manner. Ability to plan, organize, prioritize, and execute multiple and continuing assignments with general instructions.

Except for qualifications established by law, additional related experience and formal education in which one has gained the knowledge, skills, and abilities required for full performance of the work of the job class may be substituted for the education or experience requirement on a year-for-year basis with 30 college credits being equivalent to one year of experience.

Preferred Qualifications:

Proficiency in software systems (e.g. People Soft, Stratus, Modern Campus).

Experience in an academic setting.
