NW Michigan Metro Administrator
Join Young Life as an NW Michigan Metro Administrator to provide administrative support for the metro office, acting as a liaison between the metro director and area offices. The position involves operations, volunteer support, accounting, event administration, and leadership development.
Essential Duties- Implement the operations of NW Michigan Young Life in partnership with the Associate Regional Director and Area Developer.
- Partner with Regional Admin to support NWMI areas with regional needs.
- Support staffed areas as a resource to Area Directors and Area Admins.
- Serve volunteer areas (or PT staff) with area admin support.
- Help execute an administrative start‑up process to set up brand new areas.
- Screen new volunteers.
- Set up email, website, and social media for new areas.
- Maintain a contact list for volunteers and donors.
- Set up processes for reimbursements or P‑card.
- Initiate and submit monthly expense reports; reimburse volunteer leaders; pay invoices; help areas set up annual budgets.
- Gather weekly numbers for clubs, campaigners, and kids known by name, and log numbers weekly.
- Support areas in scholarship opportunities for camp; help request camp spots, complete contracts, plan logistics; create promotional materials and online sign‑ups; track sign‑ups and payments; provide communication resources to team leaders.
- Create Excel trackers for donor engagement and quarterly newsletters; prompt areas to write year‑end letters; create a regional donor report.
- Attend bi‑weekly meetings with NW Michigan staff; build working relationships with other regional admins; coordinate fundraising and donor development.
- Answer correspondence and phone calls; file and prepare mailings; send prayer e‑mails and updates; communicate new mission policies and procedures.
- Assist the metro director with workload, process and track donations and donation database.
- Maintain donor and leader databases, ensuring all forms, questionnaires, and background checks are up to date.
- Manage monthly expenses and budgets, including FDT, metro and staff expense reports.
- Provide personnel support for metro staff, including HR and personnel action requests.
- Coordinate metro fundraising events and other metro events; provide camping administration.
- Ensure compliance with GPS system reporting and facilitate paperwork to open and close area ministries.
- Manage administration of social media accounts and eNewsletter (mSite, Facebook, Twitter, etc.).
- Handle accounting tasks: pay bills, submit purchase card expenses and donations; evaluate financial status monthly.
- Maintain contact databases and mailing lists for staff, clubs, campaigners, committees, leaders, and prayer partners.
- Coordinate area meetings: staff, leadership, committee; oversee camp, banquet, golf marathon, and auction events; manage invitations, RSVP, sponsor ships, and donor communications.
- Provide training support to metro director, area administrators and staff on processes and applications.
- Handle public relations and additional work as requested by area and metro staff.
- BA or BS preferred with at least three years as an administrative assistant in a large organization or ministry.
- Three to five years of administrative assistant experience preferred.
- Knowledge of office management and supervisory techniques; ability to plan and oversee work of others.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
- Strong organizational skills with attention to detail and ability to handle concurrent tasks.
- Excellent written and verbal communication skills and grammar.
- Ability to establish effective working relationships with field staff and provide outstanding customer service.
- Confidentiality and basic accounting skills.
- Detail‑oriented multi‑tasking ability and initiative in developing processes/systems around events.
- Relational skills with both kids and adults.
