OverviewFord Insurance Agency is growing, and we’re looking for a proactive, friendly, and highly organized Receptionist and Administrative Assistant to serve as the first point of contact for our clients and guests. In this role, you’ll help ensure the office runs efficiently by supporting daily operations, managing front desk responsibilities, and assisting internal teams with administrative tasks. Your professionalism, attention to detail, and positive attitude will help create a welcoming and productive environment.
Key Responsibilities Front Desk Duties- Greet all visitors warmly and professionally; notify appropriate team members upon their arrival.
- Promptly answer incoming phone calls; route calls to the appropriate departments or team members.
- Monitor general agency email inbox, voicemails, and direct inquiries accordingly.
- Maintain a clean, organized, and welcoming front desk and lobby area.
- Sort and distribute incoming mail; prepare outgoing mail and shipments as needed.
- Perform general administrative tasks including filing, scanning, and copying.
- Keep customer and contact records updated in the agency management system.
- Order and track inventory of office and break room supplies.
- Schedule service or maintenance for office equipment when necessary.
- Support agents and staff by assisting with follow‑up communications or light data entry.
- Help coordinate agency events, internal meetings, or celebrations.
- Provide backup support for other administrative roles when needed.
- Assist with onboarding preparations for new hires (supplies, workspace setup, etc.).
- Friendly, professional, and comfortable engaging with clients and visitors in person and over the phone.
- Excellent communication and organizational skills.
- Strong attention to detail and ability to multitask.
- Self‑motivated and takes initiative to solve problems or improve processes.
- Consistent, reliable, dependable and eager to contribute to a team.

- Intermediate Microsoft Office skills, and tech savvy to learn other office software.
- High school diploma or equivalent required.
- Prior experience in a receptionist, front desk, or administrative support role preferred.
- Insurance agency or financial services experience a plus, but not required.
- This position requires the ability to speak on the phone, sit at a computer, walk regularly around the office and to our mailbox, and do basic computer work.
