Position: Quote Executive (Level II)

Purpose of Role

Provide high‑quality D&M proposals within expected timeframe. Based on quote requirements, works with various internal departments to deliver proposals and change orders to customers' first time. Prepares and presents proposals to internal and customer facing meetings when applicable. This is a hybrid role, primarily based on site.

Main Responsibilities
  • Leads meetings with internal departments and externally with clients to discuss expectations associated with proposals, revisions to proposals, and change orders.
  • Collaborates with Subject Matter Experts (SME) to gather supporting information to be captured within proposals to enable delivery within required service level agreement (SLA).
  • Actively participates in drafting change orders, proposals & revisions.
  • Drafts and presents cost analysis and proposals to Senior Leadership Team and external customers.
  • Functions as an internal point of contact for proposals and change orders inquiries.
  • Acts as a liaison between Project Management and Business Development Managers to support the transition of awarded proposals into Project Management teams.
  • Trains new Business Development Associate hires on how to review, interpret and utilize information provided within request for quotes (RFQs) and change order forms submitted by Business Development and Project Management to draft change orders submitted to customers.
  • Controls and manages departmental work instructions for accuracy as processes develop or change. Responsible for formally communicating any changes to existing work instructions to Business Development Associates. Ensures BDA's are trained on the latest methods.
  • Proactively asks questions to obtain answers, collects business process information, and works with others in a positive and collaborative manner.
  • Manages and prioritizes competing requests from multiple parties to ensure all tasks are completed within required SLA.
  • Reports daily and weekly metrics, utilizing data for identification of improvement opportunities.
  • Possesses ability to solve complex problems with minimal guidance.
  • Applies knowledge of and adherence to all appropriate PCI, cGMP, and GCP policies, procedures, and rules.
  • Undertakes tasks and manages specific internal or ad‑hoc projects as required to meet department and business needs within the scope of the job holder's capabilities and responsibilities.
Work Experience

Experience of working in the pharmaceutical industry, ideally in a CDMO. Advanced computer skills: ability to perform complex tasks and operate programs such as Smartsheet and Salesforce. Demonstrated attention to detail, sound judgment, excellent time‑management skills, and ability to perform high‑quality work in a fast‑paced environment.

Qualifications

Associate’s degree in a pharmaceutical-related field and/or 1–3 years related experience and/or training.
