Position: Circulation Specialist City of Trinidad

The Circulation Specialist is responsible for managing the daily circulation functions of the library, ensuring excellent customer service, and maintaining accurate patron and materials records. This position also oversees the Homebound Program, keeps the Integrated Library System (ILS) Koha up to date, and provides individual instruction to patrons on library resources and technology. Additionally, the Circulation Specialist is responsible for safety coordination, ensuring compliance with safety protocols, and maintaining emergency supplies.

The Circulation Specialist plays a vital role in maintaining an organized and welcoming library environment.

Regular and predictable attendance in the performance of this job is an essential function.

  • Performs all circulation duties, including checking materials in and out using Koha ILS.
  • Issues new library cards, update patron accounts, and verify contact information.
  • Track lost and damaged materials, notify patrons, and initiate collection processes when necessary.
  • Assists patrons with locating materials, placing holds, and using library resources.
  • Answers inquiries regarding library policies, services, and programs.
  • Provides basic troubleshooting for public computers, printers, and self-service machines.
  • Oversees the Homebound Program, ensuring materials are selected, checked out, and delivered to eligible patrons.
Integrated Library System (ILS) & Collection Management – 25%
  • Maintains expertise in Koha ILS, staying updated on system enhancements and changes.
  • Identifies and reports technical issues related to Koha and communicates necessary updates to staff.
  • Ensures the accuracy of circulation records and troubleshoots ILS-related problems.
  • Shelves returned materials, conducts shelf-reading, and maintains collection organization.
  • Withdraws, repairs, or replaces damaged and outdated materials as needed.
  • Tracks and processes overdue notices, lost/damaged fees, and sends accounts to collections when necessary.
  • Generates and analyzes circulation reports to inform collection and policy decisions.
Patron Education & Outreach – 20%
  • Schedules and provides one-on-one instruction for patrons on library resources, technology, and digital services.
  • Assists with library programs, workshops, and community outreach initiatives.
  • Educates patrons on the use of the online catalog, placing holds, and accessing digital collections.
Safety Coordination – 10%
  • Attends safety meetings and stay informed on safety protocols.
  • Regularly checks and maintains First Aid supplies.
  • Inspects fire extinguishers and the AED machine to ensure they are in proper working order.
  • Reports any safety concerns or maintenance needs to the appropriate personnel.
Building Supply Management – 10%
  • Tracks inventory and orders all building supplies, including office supplies, cleaning supplies, and other materials necessary for the daily operation of the library.
  • Works with vendors and maintain supply budgets in coordination with library administration.
Other Duties – 5%
  • Perform other duties as assigned by the supervisor.
