Our company provides critical infrastructure in support of our communities by providing reliable engineering solutions. We are currently looking for a Part Time Administrative Assistant to join our Troutdale, OR office. Firwood Design Group is a team‑driven positive work environment that promotes integrity and excellence in our work.
Whoyou are:
- Good Communication: excellent written and verbal communication skills and possess the ability to provide exceptional customer service.
- Organized: you pay attention to detail and can help coordinate and track items such as meeting minutes, schedules, office supplies, time sheets, etc. Ability to multi‑task.
- Computer
Skills:
you have excellent solid understanding of Excel, Word and the Microsoft Suite. Quick Books is a plus. - Relationship‑focused: you have strong interpersonal and communication skills, a collaborative approach and an interest in supporting our Senior Project Managers, Project Engineers and Project Team members.
- Hard Working and Self‑Motivated: you care deeply about delivering quality work for your team. You are self‑motivated and perform work without a large amount of supervision.
- Curious: you strive to learn and are not afraid to ask questions.
- Integrity: you do the right thing, even when no one’s watching.

What you’ll do:- Prepare monthly customer invoices and statements.
- Enter, review and approve time sheets in Quick Books Online.
- Maintain invoices, contracts and insurance certificates for multiple projects.
- Maintain inventory of office supplies and ensure adequate stock is maintained.
- Track and process monthly office billing expenses.
- Process employee payroll and maintain personnel records.
- Process mail.
- Reach out to customers with overdue balances regarding payment.
- Update annual company filing records, archive older files and organize filing system.
- Process credit card charges.
- Set up new project files.
- High School Diploma.
- Minimum of 3 years’ experience providing administrative support in a professional/technical services environment.
- Organized and detail‑oriented disposition.
- Strong organizational and communication (written/oral/visual) skills.
