Role OverviewThe Manager of Legal Services is an administrative and operational leader responsible for overseeing the day‑to‑day management of legal support staff, including paralegals, legal assistants, and law clerks. This role focuses on staffing coordination, workload balance, feedback collection, and operational efficiency across legal matters.
The Manager of Legal Services serves as a central coordination and accountability point for resource allocation and performance feedback, while working in close partnership with Managing Partners, Professional Development (PD), and Human Resources (HR).
Key Responsibilities- Serve as the manager for paralegals and legal assistants.
- Support Managing Partners in the oversight and coordination of law clerks, including workload balancing, feedback collection, and development support.
- Maintain a centralized system for tracking matter assignments and team composition.
- Ensure equitable distribution of work and monitor utilization across legal support staff.
- Assist associate attorneys by facilitating access to matters, identifying staffing needs, and helping surface opportunities aligned with development goals.
- Collect day‑to‑day performance feedback from matter leads, managing partners, and mentors regarding paralegals, legal assistants, law clerks and attorneys.
- Support the feedback and review process for legal support staff and attorneys by providing direct feedback and providing insights to PD and HR for development.
- Help identify workload challenges, interpersonal issues, or resource gaps and escalate appropriately to PD, HR, or firm leadership.
- Analyze staffing and performance trends and provide actionable insights to leadership, HR, and PD.
- Support implementation of coaching initiatives or performance improvement plans in coordination with HR and PD.
- Partner with HR, Professional Development, Finance, and IT to streamline workflows and improve transparency into staffing and utilization.
- Identify and implement tools or systems to support matter tracking, resource allocation, and feedback loops.
- Collaborate with Managing Partners to align staffing decisions with strategic firm priorities.
- Perform other duties as assigned, including participation in firm‑wide operational improvement initiatives.
- Paralegal Certificate or 7+ years of paralegal experience required.
- Minimum 7–10 years of experience in legal operations, law firm administration, or professional services management.
- Demonstrated experience managing legal support staff and complex workflows.
- Strong understanding of law firm operations, matter staffing, and legal support functions.
- Exceptional organizational, communication, and interpersonal skills.
- Strong conflict‑resolution skills and ability to navigate sensitive dynamics.
- JD or advanced degree in law, business, or operations (preferred, not required).
- Experience working closely with attorneys without serving as their direct supervisor.
- Familiarity with legal technology platforms (matter management, document management, e‑billing).
- Experience in a mid‑sized law firm environment.
