The Arizona Senior Academy, a nonprofit organization that provides cultural and educational programs for its members and for the larger community in the Vail area, seeks an exceptional individual to manage its operations. As the ASA’s sole employee, the Operations Manager maintains the ASA office, responds to inquiries from members and the public, oversees events and programs, and assists with promotion of the organization.

This is a full-time, exempt position reporting to the Board of Directors. The ASA offers a competitive salary and benefit package.

Member Relationship Management
  • Maintain member database that contains essential contact information and information on member skills, knowledge and experience
  • Oversee billing and collection of dues
  • Maintain email lists for event notices to both residents and non-residents
  • Assist members with access to ASA amenities, such as the copy machine, A-V set‑up and use
  • Provide notary public service for members
  • Act as the primary contact between our organization and the University of Arizona, managing the updates to the member spreadsheet for Cat Cards
  • Ensure that members of the Academy are welcomed and are aware of the services and amenities available to them
  • Coordinate processing and payment of ASA bills
  • Work with bookkeeper and finance committee to track monthly income and expenses and to prepare annual budget
  • Maintain financial records of all aspects of ASA operations, including dues, rentals and charitable contributions
Programs and Event Management
  • Maintain the ASA master calendar, and reserve Seminar and Great Rooms in response to requests from Program Managers, Academy members, and outside organizations
  • Collaborate with Program Managers to ensure coordination of scheduling for ASA events, inform presenters about the venue and its audio‑video capabilities, and make sure facilities are properly set up and configured for the type of event
  • Ensure that the Academy website contains accurate and up‑to‑date information, and that this information is displayed in ways that make access easy and responsive to member needs
  • Coordinate facility rentals by outside groups
Facility Management
  • Oversee the ordering and pickup of necessary supplies, ensuring timely and cost‑effective procurement
  • In collaboration with the ASA President, draft and submit the required Annual Report to the board
  • In collaboration with the ASA Treasurer, annually revise and update insurance policy documentation
  • Arrange for maintenance and repair of facilities and equipment, and monitor expenses for these services with regard for the approved budget
  • Ensure the building complies with all safety and health regulations
Organizational Management
  • Facilitate board and committee communications and meetings, and maintain organizational records
  • Oversee ASA website to ensure that information is accurate, up‑to‑date and accessible
  • Work with the board and the strategic planning committee to develop new initiatives for fundraising, membership and internal and external communications
  • Ensure that office candy jar is stocked at all times
Qualifications
  • Experience in office and facility management
  • Proficiency with Quickbooks, Word Press and Zoom
  • Notary Public certification preferred but not required
  • Fundraising experience preferred but not required
