Base pay range$49,000.00/yr - $52,000.00/yr
The Accounts Payable Specialist is responsible for processing, verifying, and reconciling invoices related to fuel purchases, transportation, terminals, and operating expenses. This role ensures accurate and timely payments, compliance with tax and regulatory requirements, and effective collaboration with vendors and internal teams in a fast‑paced, high‑volume fuel accounting environment.
Key Responsibilities- Process high-volume accounts payable transactions, including fuel supplier invoices, freight, terminal, and rack invoices
- Match invoices to contracts, purchase orders, bills of lading, and terminal statements
- Review and verify pricing, volumes, taxes (federal, state, local fuel taxes), and fees for accuracy
- Reconcile supplier statements and resolve invoice discrepancies promptly
- Prepare and process weekly and monthly payment runs (ACH, wire, checks)
- Maintain accurate vendor records and ensure compliance with internal controls
- Assist with month‑end close, including accruals and AP aging reports
- Support audits by providing documentation and responding to inquiries
- Collaborate with operations, supply, and logistics teams to resolve billing issues
- Ensure compliance with company policies and regulatory requirements
- Associate’s or Bachelor’s degree in Accounting, Finance, or related field (preferred)
- 2+ years of accounts payable experience; fuel, energy, or transportation industry experience strongly preferred
- Familiarity with fuel invoicing, terminal statements, rack pricing, and fuel taxes is a plus
- Proficiency in accounting software (e.g., SAP, Oracle, Microsoft Dynamics, Net Suite, or industry‑specific fuel systems)
- High attention to detail and strong organizational skills
- Strong analytical and problem‑solving skills
- Ability to work with large data sets and tight deadlines
- Excellent communication and vendor management skills
- Ability to prioritize and manage multiple tasks in a fast‑paced environment
- Team‑oriented with a high level of integrity and confidentiality
$49,000 to $52,000 annually.
Compensation is based on a range of factors that include relevant experience, knowledge, skills, other job‑related qualifications.
