Performs advanced, complex, and often confidential work with a broad scope of responsibilities. Prepares reports and spreadsheets from start to finish; coordinates information and arrangements for meetings and events. Handles a variety of donor care duties, including inputting confidential donor information into the Donor Management System, and performs secretarial, data entry, and clerical work to support the smooth operation of the Community Relations & Development Department.
Manages typing, data entry, maintenance of records and communications for Operations.
- Prepare, analyze, and summarize data in reports and spreadsheets.
- Coordinate meeting logistics and event arrangements.
- Enter and maintain confidential donor information in the Donor Management System.
- Perform typing, data entry, record maintenance, and communications as required by the department.
- Maintain efficient organized filing systems and ensure timely retrieval of documents.
- Build and maintain professional relationships with employees at the Tulsa Metro Area Command.
- General office practices and procedures.
- Effective and efficient record‑keeping practices.
- Basic mathematics.
- Report preparation techniques, interpersonal relations, and business communication.
- Ability to learn broad department operations and serve as an information resource.
- Ability to work on multiple projects simultaneously without frustration.
- Ability to gather, compile, and assemble information into final products.
- Planning, organizing, prioritizing tasks to meet quality standards and deadlines.
- Determining the most efficient methods to accomplish objectives with limited supervision.
- Preparing spreadsheets and maintaining computer databases.
- Maintaining confidentiality of departmental information.
- High school diploma or G.E.D.
- Preference for secretarial courses from technical or vocational school or equivalent training/experience that provides the required knowledge, skills, and abilities.
- Valid driver’s license.
- Meet attendance requirements.
- Read, write, and communicate in English.
- Perform routine mathematical computations.
- Keypunch information into a computer.
- Sort and file documents alphabetically and numerically.
- Operate general office equipment (telephone, fax machine, photocopy machine, computer).
- Concentrate with strong attention to detail while answering phones or speaking to clients.
- Work well under pressure to meet deadlines.
- Follow instructions and work independently with limited supervision.
