Full-Time Veterinary Receptionist

Location
: 1411 Coley Rd, Tupelo, MS 38801

Compensation
:
Starting between $13-15/hr, based on experience

Schedule
:
Full-Time, 7:30 AM – 5:30 PM Monday – Friday with occasional weekend work (Saturday 8:00 AM – 12:00 PM)

Key Responsibilities
  • Client Communication & Support
    • Greet clients and their pets with warmth and professionalism.
    • Answer phone calls, respond to inquiries, and schedule appointments.
    • Provide clients with detailed information regarding services, procedures, and policies.
    • Ensure clients understand their pet’s treatment plan and provide timely updates on their condition.
  • Appointment Scheduling & Client Management
    • Schedule and confirm appointments for consultations, treatments, surgeries, and follow-up visits.
    • Manage the daily appointment calendar and ensure efficient time management to prevent scheduling conflicts.

      Maintain accurate patient records, ensuring all client and pet information is up-to-date in the system.
  • Billing & Financial Transactions
    • Process payments for services rendered, including invoicing clients and managing insurance claims when applicable.
    • Handle cash, credit card transactions, and provide clients with receipts and necessary documentation.
    • Assist clients with billing inquiries and explain charges as needed.
  • Administrative & Clerical Duties
    • Maintain patient records, filing, and documentation in compliance with clinic protocols.
    • Manage the inventory of office supplies and ensure the reception area is clean, organized, and welcoming.
    • Assist with internal communications, ensuring that messages are relayed to appropriate staff members in a timely manner.
  • Team Collaboration & Support
    • Collaborate with the clinical team to ensure smooth patient flow, assist with preparing patient files for appointments, and provide assistance when needed.
    • Support the clinical team with administrative tasks, such as relaying client requests to veterinarians and technicians.
    • Be an advocate for the clients and their pets, ensuring their needs are met with care and compassion.
Skills, Knowledge & Expertise to be Successful
  • Education & Experience
    • High school diploma or equivalent required.
    • Previous experience in a veterinary or animal care setting is preferred.
    • Receptionist or administrative experience in a healthcare or veterinary setting is highly desired.
  • Skills & Competencies
    • Excellent communication skills with the ability to effectively engage with clients, staff, and visitors.
    • Strong organizational skills and attention to detail, ensuring smooth clinic operations.
    • Ability to manage a high-volume, fast-paced work environment while maintaining professionalism and a positive attitude.
    • Proficiency with computers and veterinary management software (experience with practice management software is a plus).
    • Ability to multitask, prioritize duties, and follow instructions accurately.
    • Compassionate and caring demeanor, especially when interacting with clients and pets in stressful situations.
  • Physical Requirements
    • Ability to stand, sit, or walk for extended periods.
    • Ability to lift and move items up to 25 pounds.
