Description

The Events Coordinator reports to the Manager of Volunteers and Events and is responsible for planning, coordinating and successfully executing a minimum of 30 Rescue Mission fundraising and program events per year. Under the oversight of the Manager of Volunteers and Events – the coordinator works to maintain existing relationships and building new relationships with event sponsors, funders, vendors and donors.

The Event Coordinator will be assigned as a point person the day of the event and serve as a primary contact for vendors. This position is responsible for ensuring that event set up and break down, including coordinating equipment and resources to ensure a timely and smooth set up and post event breakdown/clean up. This position will further coordinate and schedule internal program events and support the volunteer team as needed for large volunteer group serve days at Village of Hope and Double R Ranch.

Responsible to create and maintain an environment that instills the advancement of those we serve towards dependency on Jesus Christ and financial self-sufficiency; the fulfillment of ministry mission & eight key values; and the efficient & accountable stewardship of ministry resources.

This position is scheduled Monday - Friday from 8am-5pm, with exception of organization events.

Requirements

Education
:
Associate's Degree (AA)

Experience: 2-3 yrs of job related work experience.

Communication

Skills:

Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively before groups.

Math

Skills:

Intermediate:
Ability to calculate figures and amounts such as discounts, interest, commissions, proportions and percentages.

Reasoning: Intermediate

Skills:

Ability to apply common sense understanding to carry out instructions furnished in written, oral or diagram form. Ability to deal with problems involving several variables in standardised situations.

Essential

Job Duties with optional subcategories (Please add by priority and time spent in percentage for each job duty):
  • At the direction of the Manager of Volunteers and Events, gather and prepare pertinent information to achieve quality events including but not limited to the following (20%):

    • Research, vet and secure event spaces, vendors and other needed resources
    • Assist in preparation of event plans and run of shows
    • Create and revise room layouts/schematics
    • Arrange food and beverage
    • Prepare supplies and ensure appropriate decor (invitations, name tags, registration lists, gift bags, florals, linens, color schemes, etc.)
    • Track RSVPs.
  • Assist in communications and cross-functional collaboration with other teams for successful event execution including but not limited to (20%):

    • Timely reminders of upcoming events
    • Unique landing pages for registration and information
    • Onsite production
    • Staffing events with volunteers and/or students
    • Sponsor relationships
    • Multi-media (video, music, marketing materials)
    • Audiovisual
    • Clean-up.
  • Assist in closing out all events as directed by the Manager, including CRM data entry, pending transactions (sponsor ships or invoices), reconciling expenses, gathering feedback from ministry team members, updating SOPs as needed, sending thank you notes/letters/receipts to sponsors, funders, GIK donors, volunteers, and vendors. (10%)
  • Responsible for updating the Master Calendar Display for events and the Annual Events Calendar (excel spreadsheet) including but not limited to (10%):
    • Fundraising, program and special events
    • Program groups and classes
    • Sponsored student birthday celebrations
    • Performances and workshops with community partners (i.e. Segerstrom, Pacific Symphony, Art & Creativity for Healing, etc.)
    • Conference room reservations for Development
    • Catering requests for the kitchen team (i.e. corporate volunteer events, monthly QA meetings, Masterworks/EPIC onsite meetings, etc.)
  • Assist on events, projects, and/or activities as needed for the executive team and Development Department. (3%)
  • Support Volunteer Services with volunteer-centric events as needed, including but not limited to serve days typically held at DRR campus and large volunteer group serve days at Village of Hope. (15%)
  • Attend monthly/biweekly meetings on behalf of the events team, including but not limited to Mariners Church, Case Manager/Supervisors, department tea meetings, etc. (5%)
  • Assist with other volunteer resources tasks and assignments as needed. (17%)
  • Job Skills/

    Qualifications:
    • A personal relationship with Jesus, member of a local Bible believing Church, good working knowledge of the Bible, and Rescue Mission employment application with assigned acknowledgment of the Statement of Faith.
