TJC is seeking a highly organized, detail-oriented, and proactive Project Manager to oversee the day-to-day execution of creative projects across the TJC Marketing, Media, and Communications department.

This role is responsible for managing project timelines, coordinating internal teams, tracking deliverables, maintaining project schedules, and ensuring work moves efficiently from kickoff through final delivery. The Project Manager serves as the operational hub between the creative team, production partners, and project sponsors, ensuring every project stays organized, on schedule, and within scope. This position includes direct communication with sponsors, but is primarily focused on project coordination through email, project management platforms, status updates, scheduling, and production oversight.

Primary

Responsibilities Project Management & Delivery
  • Manage multiple creative projects simultaneously from kickoff through final delivery.
  • Build and maintain project schedules, timelines, milestones, and production calendars.
  • Create, assign, and manage tasks within project management system(s).
  • Ensure projects remain on schedule, within scope, and aligned with institutional priorities.
  • Monitor deadlines daily and proactively identify potential risks or delays.
  • Coordinate project workflows across multiple departments.
  • Maintain visibility into every active project and communicate progress to leadership.
Creative Team Coordination
  • Coordinate work between designers, copywriters, photographers, videographers, web developers, and production partners.
  • Ensure creative briefs contain complete project information before work begins.
  • Schedule internal creative reviews and production meetings.
  • Prioritize projects based on deadlines, departmental workload, and sponsor needs.
  • Assist leadership with resource planning and project scheduling.
  • Remove roadblocks that prevent efficient project execution.
Sponsor Communication
  • Serve as the day-to-day contact for project sponsors regarding timelines, deliverables, reviews, and scheduling.
  • Communicate project updates primarily through email and project status reports.
  • Coordinate sponsor reviews and gather feedback for the creative team.
  • Schedule meetings and presentations with sponsors when needed.
  • Escalate strategic conversations or complex sponsor issues to the Director.
  • Maintain a professional, responsive, and organized sponsor experience throughout every project.
Secondary Responsibilities Production & Quality Assurance
  • Review project deliverables for completeness prior to delivery to sponsor.
  • Coordinate print production, digital launches, website deployments, and vendor timelines.
  • Manage project review workflows from concept through final delivery.
  • Ensure files are properly organized, archived, and delivered in the correct formats.
  • Maintain agency quality standards throughout the production process.
Workflow & Process Management
  • Maintain accurate project documentation within project management, One Drive, and departmental NAS systems.
  • Track project status, milestones, reviews, and deliverables.
  • Monitor project scope and notify leadership of potential scope changes.
  • Help improve project management processes and workflow efficiency.
  • Support departmental operations by ensuring project information remains accurate and accessible.

Required Education

Bachelor's degree in marketing, communications, business, project management, design, or a related field

Required Experience

Three years of project management experience within a creative agency, marketing department, or similar environment.

Preferred Education

Master’s degree in marketing, communications, business, project management, design, or a related field
