Boarding Officer / PRO - Port Agency Summary
To act as the primary onboard and on ground representative of the shipping agency, ensuring smooth vessel handling, compliance with port regulations, and coordination with port authorities, ship crew, and stakeholders. Additionally, to manage documentation, government formalities, and public relations functions.
Duties and Responsibilities Vessel Boarding & Operations- Board vessels upon arrival and act as the agency representative onboard.
- Liaise closely with the Master and ship's crew for operational requirements.
- Coordinate vessel berthing, shifting, and sailing activities with port control, pilots, and terminal operators.
- Ensure timely clearance for vessel arrival and departure.
- Monitor cargo operations and report updates to principals/clients.
- Handle all port documentation including:
Arrival & departure formalities, Immigration and customs documentation, Port authority permits and declarations. - Ensure compliance with local maritime laws and port regulations.
- Submit required paperwork to government entities (Customs, Immigration, Port Authority, Coast Guard).
- Maintain strong working relationships with:
Port authorities, Customs & immigration officials, Terminal operators, Service providers (tugs, pilots, chandlers, etc.). - Represent the company professionally in all official dealings.
- Facilitate smooth communication between vessel, port authorities, and head office.
- Handle client visits and provide updates as required.
- Assist with crew changes, visa processing, and transfers.
- Arrange transportation, accommodation, and medical assistance for crew.
- Coordinate with immigration for sign on/sign off procedures.
- Provide timely updates on vessel status to principals and management.
- Prepare and submit daily activity reports, SOF (Statement of Facts), and port disbursement accounts.
- Coordinate with service providers for bunkering, supplies, and repairs.
- Manage port call cost control and ensure efficient service delivery.
- Respond promptly to operational issues, delays, or emergencies.
- Support vessel in case of inspections, detentions, or other port related challenges.
- Escalate critical issues to management in a timely manner.
- Bachelor's degree in Maritime Studies, Logistics, Shipping, or related field (preferred).
- 2 - 5 years of experience in port agency, shipping operations, or marine services.
- Experience in handling boarding operations and government formalities is essential.
- Valid driving license (preferred).
- Willingness to work on call and in outdoor port environments.
- Knowledge of the local language and English.
