THE EMPLOYER IS: PORTICO OF ARDS LTDThis job is as administrative assistant to the Portico Manager. The role is primarily to assist the Portico manager in the efficient and safe running of Portico. For example, producing and maintaining documentation, databases and systems that help us offer great customer service and support the efficient operation and governance of The Portico of Ards.
In addition, this will include liaising with performers, and maintaining accurate records of this, and to ensure that all H&S requirements are met and records maintained. The administrative assistant will also work with the manager to ensure that all records and files are up to date and that where reviews are needed these are carried out in a timely manner.
The successful applicant will also liaise with the Board and support the keeping of Board records and support the Company Secretary in keeping minutes of Board Meetings etc.
This new role will suit an organised, reasonably IT literate individual, who is keen to develop administrative and team working skills. Ideally they will have an interest in the Arts and their local community, but more importantly they will have the necessary enthusiasm and ambition to make the post a success.
- Assisting the Managing Director to produce & maintain efficient systems and documentation.
- Assisting with compiling information and research for grant applications.
- Communicating with Staff, Volunteers, Board members Artists, performers and their agents.
- Customer service, responding to email and telephone enquiries and correspondence.
- Database and spreadsheet management, including managing contacts and suppliers, as well as donor and volunteer data and digital filing.
- Assisting in the planning and organisation of events.
- Computer skills, particularly: email, word processing and spreadsheet management.
- Proven organisational skills.
- Proven interpersonal skills to deal with other staff, volunteers and patrons.
- The ability to work occasionally in the evenings and at weekends when shows are held in Portico.
- Integrity when dealing with money.
- Excellent interpersonal and communication skills.
