Administration Support Officer
THIS POST IS FIXED TERM FOR 12 MONTHS DUE TO FUNDING
An exciting opportunity has arisen for an Administration Support Officer to join Powys Public Health Team. We are looking for applicants who can provide a flexible and adaptable approach to support the work of the Healthy Weight and Healthy Schools Teams. We welcome applications from enthusiastic, committed individuals who are dedicated team players with demonstrable skills and experience to enable them to undertake this role.
The post holder will be a core member of the busy administration team with experience of delivering comprehensive, effective, timely and efficient administrative support to a high standard. Working within policies and procedures, the post holder will possess excellent communication and organisational skills, manage their own workload and operate on their own initiative, seeking advice if required.
The post holder will be proficient in the use of Microsoft Office (Word, Excel, Outlook, PowerPoint and SharePoint).
Main duties of the jobThe post holder will provide a comprehensive clerical, administrative and secretarial support service. The post holder will need to work on their own initiative and will be responsible for organising meetings for staff within the department and preparing papers as required, liaising with other Health Board Staff and external organisations. The post holder also needs to be able to communicate and will need to demonstrate excellent communication skills and have the ability to handle sensitive and confidential information.
The post holder will establish strong links with colleagues across the Health Board.
Qualifications and/or Knowledge
- NVQ 3 or equivalent qualification or relevant experience
- Experience of using computer based management information systems
- Experience of using Microsoft Office software
- Experience and an ability to prepare detailed reports
- Experience of working in an environment where both tact and diplomacy has had to be used.
- Knowledge of the structure and operation of the Health Board
- Advanced Keyboard Skills
- An excellent communicator at all levels within and outside an organisation including an ability to communicate effectively with patients and members of the public
- Some ability to speak, read and/or write Welsh, or an eagerness to learn.
- Excellent verbal and written communication skills
- Ability to identify, prioritise and work to short deadlines
- Able to work without supervision to achieve the objectives of the post
- Ability to design and layout reports, forms and other documents to a high quality and appropriate format
- Ability to take accurate minutes
- Ability to collate and undertake a basic analysis of data
- Ability to prepare information for meetings and seminars
- Ability to communicate clearly and succinctly, both orally and written
- Able to demonstrate the core values of the Health Board
- An understanding of the Data Protection Act particularly in relation to confidentiality
- Some ability to speak, read and/or write Welsh, or an eagerness to learn.
This post is subject to the Rehabilitation of Offenders Act (Exceptions Order) 1975 and as such it will be necessary for a submission for Disclosure to be made to the Disclosure and Barring Service (formerly known as CRB) to check for any previous criminal convictions.
